Overview

Administrative Specialist I (546) (Project Management)

Kings View is a nonprofit leader in providing behavioral health services to the underserved community, and is currently seeking an Administrative Specialist I to join our mission to provide compassionate services to those with limited resources. Administrative Specialist I (546) — Visalia, CA

Under moderate supervision, Administrative Specialist I provides general support in one or more specialized administrative areas. Responsibilities include assisting with reports, projects, audits, and budget tracking, as well as providing technical assistance as needed.

How will I contribute
  • Answer telephone calls, provide information to callers, take messages, or transfer calls to the appropriate individuals.
  • Create, maintain, and update information in the HMIS database.
  • Operate office equipment, including fax machines, copiers, and phone systems, and coordinate repairs when necessary.
  • Set up and manage paper or electronic filing systems, recording and updating information such as attendance records, correspondence, and other documents.
  • Locate and attach relevant files to incoming correspondence that requires a reply.
  • Conduct searches to find necessary information using resources such as the Internet.
  • Learn to operate new office technologies as they are developed and implemented.
  • Open, sort, and distribute incoming correspondence, including faxes and emails.
  • Track program expenses and submit credit card reports to the finance department in a timely manner.
  • Maintain an up-to-date record of staff members' locations and availability.
  • Perform other duties as assigned to support the overall functioning and success of the program.
  • May encounter risk of working with persons with SMI (serious mental illness); if such situations arise, staff will be required to call local emergency personnel, use crisis intervention techniques, and consult with supervisor as soon as practically possible.
What I bring
  • High School Diploma (or Equivalent)
  • Driver's License:
    Class C
  • Knowledge of basic office tasks, such as using office software, organizing files, and answering phones. The role involves tracking expenses, operating office equipment, and staying informed about new technologies.
  • Ability to obtain credentialing through the local County Managed Care Department.
  • Ability to organize tasks efficiently, manage time effectively, and communicate clearly.
  • Adaptability to new technologies and handling basic administrative functions with minimal supervision.
  • Strong interpersonal skills and ability to work collaboratively with diverse teams. Detail-oriented, organized, and reliable.
  • Strong communication skills and a proactive attitude are essential for assisting with various tasks.
  • Flexibility, a willingness to learn, and the ability to handle multiple responsibilities.
  • Bilingual English/Spanish preferred
