Office Assistant (Administrative)
Mind Divers is looking for an Office Assistant to be the heartbeat of our front office—welcoming clients, keeping schedules on track, and supporting smooth day‑to‑day clinic operations. You'll be the first point of contact for clients and visitors, help with scheduling and basic administrative work, and assist with billing support and records—always with professionalism, empathy, and confidentiality.
Essential Functions (What You’ll Do) Client & Front Desk Support- Answer phones
285, greet clients/visitors, and route questions to the right team member. - Support appointment scheduling for therapists and psychiatrists.
- Communicate professionally and respectfully with clients, coworkers, and supervisors.
- Perform general clerical tasks (filing, scanning, copying, preparing letters/forms).
- Maintain accurate, confidential records and case‑related entries in our EHR systems.
- Print, scan, and prepare documents for staff and clients.
- Order and manage office supplies to keep theocomping stocked and functional.
- Provide coverage for other Office Assistants during absences.
- Keep the front office and shared spaces clean, organized, and ready for clients.
- Support కేస billing and fee collection activities, including reconciling payments (training provided as applicable).
- Take basic client vitals when requested (training provided).
- Handle urgent situations calmly and follow Mind Divers protocols.
- Take notes and assist with basic report preparation when requested.
- Perform other duties as assigned to support clinic needs.
- Experience:
Prior experience in receptionist, administrative, secretarial, or office support work (or equivalent customer‑facing administrative experience). - Education:
High school diploma or equivalent (see "Risk Flags" section for a recommended alternative). - Strong verbal and written communication in English.
- Basic math skills and strong attention to detail.
- Intermediate computer skills (Phrase: Microsoft Word, Excel, Outlook, PowerPoint, Office 365, Teams, Zoom).
- Ability to learn and use Electronic Health Record (EHR) systems.
- Professionalism:
Ability to maintain confidentiality and work effectively with diverse clients and teams. - Physical/Work Expectations:
Ability to perform office‑based tasks (sitting/standing/walking, typing, light lifting, stairs as needed). Reasonable accommodations available.
