The Human Resource Specialist is responsible for coordinating and facilitating the onboarding process for all newly hired employees within the school division. This position ensures compliance with school board policies, state and federal employment regulations and established human resources procedures. The specialist serves as the primary point of contact for new hires and supports a smooth transition into the division through effective communication, documentation, and orientation.
Responsibilities- Coordinate onboarding for all newly hired instructional, support, administrative staff, volunteers, substitutes and coaches.
- Serve as the primary point of contact for new employees from offer acceptance through their initial employment period.
- Process and verify employment documentation, including but not limited to contracts, background checks, 1-9 verification, and TB screening.
- Ensure all onboarding requirements are completed prior to employee start date.
- Schedule and assist with new employee orientation sessions and onboarding activities.
- Enter and maintain accurate employee records in the Human Resource Information System (HRIS).
- Collaborate with principals, supervisors, payroll, benefits, technology, and other central office departments to ensure a seamless onboarding process.
- Communicate employment expectations, division procedures, and onboarding timelines clearly to new hires.
- Track onboarding compliance and maintain records in accordance with school board policy and record retention guidelines.
- Respond to onboarding-related inquiries for new employees, administrators, and schools.
- Maintain confidentiality of employee information in accordance with FERPA, HIPAA (as applicable), and school division policies.
- Assist with employee related functions and events, including Retiree Reception, Employee Wellness Fair, and other organizational activities.
- Support employees in securing appropriate credentials, including employee identification badge, key fob, and required security access.
- Provide assistance to staff with setting up, accessing, and maintaining their Munis Self Service account.
- Effectively multitask by managing multiple human resource functions while meeting deadlines and maintaining accuracy.
- Support the Executive Director with the preparation, completion, and submission of required state, federal, and local reports, ensuring accuracy and compliance with applicable regulations.
- Provide administrative and operational support to other members of the Human Resource staff as needed to ensure efficient departmental operations.
- Other duties as assigned.
Skills and Abilities
- High School diploma or equivalent required.
- Working knowledge of Virginia public school system employment practices and procedures preferred.
- Strong organizational skills with attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with HRIS systems and standard office software (Microsoft Office and Google Workspace).
- Ability to work collaboratively with school administrators, central office staff, and external agencies.
