Position Overview

This position is contingent upon successful contract submission and award. Prevailance is seeking an experienced Information Knowledge Coordinator to support program-level information and knowledge management activities within a multinational/NATO environment. This role provides direct support to the Program Director and branch leadership by ensuring effective document management, stakeholder coordination, meeting support, and information flow across programs and governance structures. The ideal candidate brings strong organizational skills, experience in portfolio or program management environments, and familiarity with defense or multinational organizations.
Responsibilities- Support the Program Director in maintaining comprehensive oversight of program planning and execution, including configuration and administration of key program documents.
- Coordinate and manage Information and Knowledge Management (IKM) systems (e.g., SharePoint, electronic document repositories, ACT TRANSNET portal, shared mailboxes) to ensure accessibility and traceability of governance documentation.
- Maintain Tasker Tracker requirements and ensure timely updates and visibility across stakeholders.
- Support stakeholder engagement efforts and facilitate information flow with appropriate counterparts across the NATO enterprise.
- Assist in engagement and communications to the broader NATO community of interest.
- Develop and maintain MS Office products for internal and external reporting purposes.
- Coordinate and manage program-related meetings, including scheduling, documentation, and follow-up actions.
- Support onboarding and induction of new staff members, including coordination of training, IT access, and equipment.
- Perform additional administrative and coordination tasks as required by the Program Director.
- Demonstrated experience in administration and management, including Information and Knowledge Management (IKM), event coordination, or human resource–related processes.
- Experience working within multinational, international, defense, or security-related organizations.
- Experience supporting coordination in a Portfolio, Program, or Project Management environment.
- Strong written and verbal communication skills, including briefing and stakeholder coordination.
- Proficiency in Microsoft Office Suite and collaborative software platforms.
- US Citizen.
- Current US / NATO Member Country Passport.
- Bachelor’s degree in Business Administration, Information Science, Knowledge Management, or Project Management.
- Certification in Information Knowledge Management or Project Management methodologies.
- Familiarity with the organization and hierarchy of the Navy rank and grade structure.
- Knowledge of Navy terminology.
- Associate degree or higher.
- Must possess and maintain a Secret security clearance.
