About Our ClientAddison Group is partnering with a healthcare organization that supports training and development initiatives for a growing sales team. Our client is seeking a highly organized Training Operations Specialist to assist with the coordination and execution of sales training programs and internal events. This role will work closely with leadership and cross-functional teams to ensure training programs are well-planned, organized, and successfully executed.
Job DescriptionThe Training Operations Specialist will support the operational planning and logistics behind multi-day training programs and meetings. This role focuses on coordinating travel, vendors, venues, program materials, and internal communications while maintaining project timelines and documentation. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple moving parts in a fast-paced environment.
Key Responsibilities- Coordinate logistics for in-person and virtual training sessions including travel arrangements, venues, catering, audiovisual needs, and shipping of materials.
- Develop and maintain project plans, timelines, and checklists to ensure all program deliverables are completed on schedule.
- Manage communication with training participants, including confirmations, updates, and program details.
- Track training-related expenses, assist with purchase orders, reconcile invoices, and support expense reporting.
- Maintain organized records, documentation, and operational trackers for training initiatives.
- Collaborate with cross-functional teams to align on schedules, program requirements, and deliverables.
- Provide operational support during live training events when needed.
- Maintain training rosters and operational data while assisting with systems such as learning management platforms.
- Identify opportunities to improve processes, documentation, and training workflows.
- 2+ years of experience in event coordination, training operations, administrative support, or program coordination.
- Bachelor’s degree preferred (Healthcare, Business, Communications, or related field).
- Strong attention to detail with the ability to manage complex logistics and multiple deadlines.
- Experience coordinating travel, venues, vendors, and event logistics.
- Excellent written and verbal communication skills with the ability to work with cross-functional teams.
- Proficiency with Microsoft Office and collaboration tools such as Microsoft Teams.
- Experience with expense management systems (e.g., Concur) is strongly preferred.
- Familiarity with LMS platforms, reporting tools, or project management software is a plus.
