Leaf Spring School at Three Chopt is seeking a warm, organized, and highly professional Administrative Assistant
, also known as our Director of First Impressions
. This role is essential to the daily success of our school, serving as the first point of contact for prospective and current families and ensuring a welcoming, efficient, and well‑organized front office.
The Administrative Assistant sets the tone for the school experience by providing exceptional customer service while supporting administrative operations, enrollment processes, and daily school logistics.
Key Responsibilities- Provide outstanding customer service to families, visitors, and staff, creating a positive and welcoming school environment.
- Serve as the first point of contact for phone calls, walk‑ins, and prospective family inquiries.
- Support the enrollment process, including responding to inquiries, scheduling tours, and assisting families through registration.
- Manage family billing, payments, and basic accounting functions with accuracy and attention to detail.
- Maintain student records and files, ensuring compliance with state licensing and school policies.
- Support data entry and database management for enrollment, attendance, and family information.
- Serve as Administrator‑in‑Charge when needed, assisting with daily operational needs such as schedule coordination and maintaining appropriate classroom ratios.
- Assist school leadership with communication to families, office organization, and administrative projects.
- Help maintain an organized, efficient, and professional front office environment.
- Assist in classrooms to support as needed, including covering breaks and ratios.
- Friendly, professional, and highly organized with excellent interpersonal skills.
- Strong customer service mindset and ability to build relationships with families.
- Comfortable managing multiple tasks in a fast‑paced environment.
- Detail‑oriented with strong administrative and organizational skills.
- Experience with billing, scheduling, or office management preferred.
- Previous experience in a school, childcare, or family‑focused environment is a plus.
- Must possess a love for children and an ability to relate well with them, their families, teachers, and the general public.
- Competency in the following clerical skills, including, but not limited to: typing, filing, record keeping, and proficiency in Microsoft Office programs. Procare proficiency preferred.
- High School diploma required. Associate or Bachelor’s degree preferred.
- Current notary public or willingness to obtain within 6 months.
- Prefer at least one year of experience.
- Willingness to work Monday‑Friday with rotating hours between 7:00 am and 6:00 pm. Occasionally, after‑hours may be required.
- Willingness to support in classrooms as needed to cover ratios.
