Working under the supervision of the Office Manager and/or General Manager, the Front Desk / Administrative Assistant is responsible for supporting the day-to-day administrative and operational functions of the office. This role serves as the first point of contact for visitors, clients, vendors, and callers, ensuring professional representation of Total Millwork ("TM") while maintaining efficient office operations.
The Front Desk / Administrative Assistant provides administrative support to internal departments, including Project Management, Purchasing, Operations, and Human Resources. This position requires strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced millwork and construction environment.
Duties & Responsibilities- Greets and assists visitors, clients, subcontractors, and vendors in a professional and courteous manner.
- Answers and manages multi-line phone systems; routes calls, emails, and messages accurately and promptly.
- Coordinates and schedules meetings, appointments, and conference room usage.
- Receives, sorts, and distributes incoming mail and deliveries; prepares outgoing mail and packages.
- Maintains organized filing systems (physical and electronic); ensures document accuracy and accessibility.
- Orders and maintains inventory of office supplies; communicates with vendors and tracks office-related accounts as directed.
- Assists with new hire documentation processing and onboarding administrative tasks in coordination with Human Resources.
- Provides administrative support to Project Management, Purchasing, Shop Management, and Operations as needed.
- Supports preparation, formatting, scanning, and distribution of reports, correspondence, and project documentation.
- Maintains a clean, organized, and professional reception area; ensures adherence to office protocols and procedures.
- Handles confidential and sensitive information with discretion.
- Performs additional administrative duties or special projects as assigned to ensure smooth office operations.
- Follows company procedures, safety standards, and policies.
- High School Diploma or GED required;
Associate degree preferred. - Minimum of two (2) years of experience in an administrative, front desk, or office support role. Experience in construction, manufacturing, or millwork environments preferred.
- Ability to communicate effectively in English (verbal and written); bilingual English/Spanish preferred.
- Strong organizational skills with close attention to detail and accuracy.
- Ability to manage multiple tasks, prioritize effectively, and work under pressure while meeting deadlines.
- Professional demeanor with strong customer service and interpersonal skills.
- Proficient in desktop/laptop computers, smartphones, and related office technology.
- Proficient in Microsoft Office (Word, Excel, Outlook), Microsoft Teams, and Adobe PDF software.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Ability to work independently with minimal supervision while supporting a team environment.
- Must be willing to sign a confidentiality agreement and consent to lawful pre-employment screening requirements, including drug testing and background checks, consistent with applicable federal and Virginia law.
- This position operates primarily in a professional office environment located within a millwork manufacturing and construction setting. While most duties are performed in a climate-controlled office, the employee may occasionally be exposed to shop areas, warehouse space, or jobsite environments where noise levels may be elevated, and personal protective equipment (PPE) may be required.
- The employee will routinely:
- Sit for extended periods while working at a desk and computer.
- Stand and walk throughout the office and facility.
- Use hands and fingers to operate office equipment, including computers, telephones, printers, and copiers.
- Communicate verbally and in writing with employees, clients, and vendors.
- Reach, bend, stoop, or kneel occasionally to retrieve files or office supplies.
- The position may require lifting and carrying office materials, packages, or supplies weighing up to 25 pounds on an occasional basis.
