We are currently seeking a full-time Administrative Professional to join our Virginia, MN office. This role provides essential administrative, accounting, and compliance support to both office and field operations.
Position SummaryThe Administrative Professional supports daily office operations, accounting functions, compliance reporting, and human resource processes. This individual plays a key role in maintaining organization, efficiency, and professionalism throughout the office.
Key Responsibilities Front Office and Administrative Support- Greet and direct visitors in a professional manner
- Answer and route incoming phone calls and communications
- Open, sort, and distribute mail
- Order and maintain office and shop supplies
- Provide general administrative support to office and field staff
- Plan and coordinate company meetings, gatherings, and special events
- Prepare compliance reports including EEO, Workforce, Equal Pay, Human Rights, and related reports
- Assist with hiring and onboarding of new employees
- Maintain employee files and contact information
- Maintain DOT driver qualification files and vehicle logs
- Ensure proper reporting of workers compensation and vehicle or property claims
- Follow up on subcontracts, certificates of insurance, and related documentation
- Perform additional duties and ongoing training as assigned
- Associate degree in Accounting, Business, or related administrative field, or related accounting or administrative experience preferred. Equivalent experience will be considered.
- Proficiency in Microsoft Excel, Word, and office management or accounting software
- Strong organizational skills with the ability to multitask and meet deadlines
- Effective communication skills across all levels of the organization
- Resourceful, detail oriented, and proactive
- Ability to prioritize tasks and suggest process improvements
- Professional demeanor and positive attitude
- Requires sitting, standing, bending, and reaching
- Manual dexterity to operate standard office equipment
