Position Summary

Reporting to the Clinic Manager, the Patient Experience Coordinator (similar to medical receptionist and office coordinator roles) is the owner of the patient’s first and last impression and front-office experience, delivering first-class customer service throughout the patient’s physical therapy journey at Athletico.

Essential Duties and Responsibilities

The following is not exhaustive; duties may evolve with the organization’s needs and objectives.

  • Provide professional, friendly and compassionate service to all patients and physical therapy staff in all interactions, including issue resolution, scheduling, new patient onboarding, insurance verification, and billing.
  • Manage clinic scheduling to match patients with the best clinician for their needs and optimize patient flow.
  • Provide new patient onboarding including facility tour, data gathering, and staff introductions.
  • Verify patient medical insurance information and manage insurance requirements; inform patients of benefits and payment options.
  • Coordinate communication of patient progress to physicians, nurse case managers, adjusters and attorneys on behalf of physical therapists.
  • Assist with management of patient expectations based on clinical findings, including frequency and duration of treatment, progression toward functional goals, and discharge planning. Serve as a contact for post-care needs.
  • Organize cultural moments (e.g., patient goal celebrations) with the clinical team to recognize and appreciate patients.
  • Execute and reinforce administrative and patient experience SOPs and best practices within the clinic.
  • Provide general office, receptionist, and clerical support to the assigned location.
Qualifications
  • Education:

    High School Diploma or GED
  • Knowledge and Technical

    Skills:
    • Excellent customer service skills
    • Proficient with MS Office, Outlook and Excel
    • Knowledge of healthcare insurance benefits and coverage preferred
    • Experience with requesting and managing customer payments preferred
Language Skills
  • Ability to read, write and speak English proficiently
Physical Demands
  • Ability to perform office activities including remaining stationary for extended periods, stoop/kneel/crouch, move around the office, communicate verbally and in writing, and use fine motor skills including keyboarding
  • Ability to see at close and distance ranges, peripheral vision, depth perception, and ability to adjust focus
Work Environment
  • Standard office environment; low noise level with no extraordinary environmental factors

Salaried ranges listed are for full-time (40 hours). Additional pay such as incentive, GAP, overtime, and stipends are subject to program rules and may not be available in all locations. Base pay depends on factors such as role complexity, responsibilities, experience, and location. Base pay ranges are reviewed and updated annually. Offers are made within the base pay range applicable at the time.

Salary
  • Minimum Salary/Wage: USD 15.00 per hour
  • Maximum Salary/Wage: USD 23.50 per hour
