Job Description:

Mountain Gateway Community College (MGCC) is a two-year public institution of higher education and one of 23 community colleges in Virginia. The college is supported by the Commonwealth of Virginia; the counties of Alleghany, Bath, Botetourt (northern portion) and Rockbridge; the cities of Buena Vista, Covington, and Lexington; and the town of Clifton Forge. We are seeking a detail-oriented Administrative Assistant to provide vital support to the Nursing Program Head, faculty, and students. This role serves as the central hub for our Associate and Practical Nursing programs, ensuring compliance with clinical requirements, managing student records, and assisting with key department events.

Key Responsibilities

* Program & Faculty Support:
Provide clerical assistance to nursing faculty, manage departmental work orders, and update program handbooks and website content.

* Student Admissions & Onboarding:
Act as the first point of contact for prospective students; coordinate Nursing Orientation and facilitate access to clinical facilities.

* Records & Compliance:
Maintain meticulous student files, including tracking medical immunizations (PPD, vaccines), CPR certifications, and clinical requirements.

* Administrative Operations:
Prepare adjunct faculty contracts, process pay authorizations, and manage clinical agency contracts.

* Event Coordination:
Assist in the planning and execution of the Nursing Pinning Ceremony and support preparations for accreditation site visits.

Minimum Qualifications:

* Strong organizational skills and the ability to manage complex spreadsheets.

* High level of discretion and commitment to maintaining student confidentiality.

* Professional communication skills for interacting with students, faculty, and the public.

* Proficiency in digital document management and basic website update

Additional Considerations:

Prior experience working in a higher education environment is a significant plus.

Familiarity with nursing or healthcare administration is also beneficial.
