Manage and oversee a team of Warrants Specialists to ensure data integrity and compliance of systems utilized. Performs intermediate skilled clerical work to oversee and enter warrants into a records management system and coordinate warrants staff; receives, processes and handles VCIN/NCIC related tasks in the Communications Center such as VCIN entries, modifications, clear/cancel records from the files as needed. Exceptional customer service skills must be excised to assist a wide range of people.
This position must maintain confidentiality. Work is fast-paced and diverse.
- Maintain VCIN system integrity by ensuring timely and compliant entries, checks, and validations.
- Manage team of warrants specialists to ensure compliance and the highest level of accuracy.
- Conducts performance evaluations and provides continuous coaching and feedback for direct reports.
- Addresses performance concerns and delivers disciplinary action when necessary, in alignment with company policy.
- Reviews, validates, and approves timesheets for warrants staff.
- Oversee VCIN audit preparations, working closely with other Terminal Agency Coordinators, including Town of Bedford Police Department and Bedford County Sheriff’s Office.
- Enters warrants into the records management system (RMS).
- Runs subject’s information through VCIN and enters subject into VCIN and NCIC.
- Fills out warrant packet and places warrant and VCIN information in packet.
- Complete reports and recalls for the Commonwealth Attorney’s office.
- Maintains extradition forms, wanted persons, and protective order forms.
- Checks active warrants daily; sends and receives warrants to/from other jurisdictions daily; arranges extraditions.
- Perform monthly validations for VSP on required entries.
- Maintains all files for VCIN, in a timely manner as mandated by the Virginia Department of State Police.
- Assists Communications Officers with VCIN duties such as HITS and ATLs, when necessary.
- Communicates with the various court clerks, other jurisdictions, and the magistrate on matters regarding warrants and protective orders.
- Serves as a backup to the Administrative Manager to order supplies for the Communication Center.
- Assist communications officers, deputies and town police with any questions about warrants, protective orders, etc.
- Prepares files for destruction and keeps records of how files for accreditation and to meet Virginia State Police requirements.
- Research various data bases (within CAD/RMS/Other) to locate addresses, etc. for wanted persons.
- Performs and accomplishes all tasks as appropriately assigned or requested by management.
- Participates in employee meetings and training as needed.
- Performs special projects as assigned.
- Meets attendance requirements and maintains the highest level of dependability.
- Consistently demonstrates ability to respond to changing situations in a flexible manner in order to meet current needs and reprioritizes work as necessary.
