The Administrative Assistant serves as the primary contact and coordinator of communications and responsibilities of the business partners for customer projects. Additionally, the Administrative Assistant provides as liaison for translating project progress into real time invoicing and budget comparison for project management, planning and critical deadlines. The candidate will be an excellent communicator with key identification of on time materials management forecasting while supporting the team’s success by organizational priorities, operational effectiveness and manpower fulfillment recommendations.

Essential Functions:

  • Provides executive-level administrative support for the partners including but not limited to managing the schedule/calendar, screening and managing correspondence, email and telephone communications, greeting visitors and managing appointment flow, and preparing and briefing the partners for upcoming meetings, events, commitments, projects, and responsibilities.
  • Manages the partners commitments including scheduling of appointments and travel, itineraries, guest lists, background, and briefing materials.
  • Conducts research for the partners on internal and external client interests and trends to gain an advantage in our industry to set us apart from our peers.
  • Oversee accounting, analysis, and execution of project budgets, frequently including operating expenses, sensitive employee financials and business accounts. Produces expense budgets and assists in annual forecasting processes. Manage and processes employee credit card expenses and reimbursements through Jobtread, Quick Books, or other similar job and financial software.
  • Documents and participates in key high level forecast sessions exercising discretion and confidentiality concerning and including staff reviews, short-term initiatives, and relationships with vendors, personnel and clients.
  • Acts as a liaison regarding client visits to provide continuity with projects, for change orders requested, project drawing revisions and customer interface in the absence of a partner or project manager being in office.
  • Support to Project Managers and Job Superintendents in their daily success through follow up correspondence for pending material orders, subcontractor scheduling, project documents, permits or similar.
  • Supports hospitality for client, vendor and employee meetings by providing refreshments to advance our partnership success.
  • Other duties and responsibilities as assigned by the partners or by others as delegated by the partners.

Work Schedule:

Monday - Friday, 8:30 AM - 4:30 PM

Minimum Qualifications:

  • A High school diploma or equivalent is required (associate’s degree preferred)
  • Significant experience working in an administrative support role or a combination of education and experience which would provide a similar level of experience and skills
  • Strong records maintenance skills
  • Proficiency in Microsoft Office Suite, Mac/Apple systems, Adobe Acrobat, Workday and other applications applicable to the office
  • Ability to maintain confidentiality
  • Ability to communicate effectively, both orally and in writing
  • Success with building Excel Spreadsheets, Quick Books entry experience and the ability to learn Jobtread construction software.

Full Time Position to include shared cost health insurance benefits, up to 3% match of Simple IRA, 6 paid holidays, one week vacation eligible after 6 months / two weeks after 12 months employment.

Salary Range: $20.00-$25.00 per hour commensurate with related experience
