Responsibilities

  • Run monthly Lease Expiration Report and Rent Increase Report and prepare tenant rent increase letters and pull all expiring leases for renewal or termination.
  • Using the monthly Lease Expiration Report, update Lenny’s monthly Lease Expiration list.
  • Print monthly Rent Roll Reports and Delinquency Reports for distribution to leasing agents.
  • Print monthly Leasing Reports and distribute to leasing agent for updates. Input changes to reports in Google Drive then download and convert document to Word, make additional changes and scan reports. Upload scanned reports to individual properties into App Folio.
  • Prepare Lease Commencement Certificate for any move-in that did not occur on the actual commencement date according to the lease.
  • Email leasing agents, every other week, to submit all new transactions for publication in the Inside Business.
  • Submit all leasing agent sign orders for installation, removal or change to Archbell Signs.
  • Input changes to tenant charges in App Folio from annual Operating Expense Letters received from Property Management.
  • Update any lease language as required on proper lease template.
  • Print and file monthly CPI report. Prepare annual CPI increase letters Apartments Phase I, Phase II, and Phase III. Send letters to team and make rent adjustments in App Folio.
  • Keep up with leasing department supplies and order any specialty supplies. Make sure they are always plenty of Lease Applications and p folders in stock.
  • Pull terminated tenants for Dead File. Annually, pull old Dead Files and box up for storage.
  • Run leasing applicants credit report and distribute to appropriate leasing agent. When monthly bill comes in, match up with reports ran and give team in Accounting to pay.
  • Using proper template to prepare all lease documents, i.e., leases, renewals, amendments, assignments, terminations, etc. for tenant and landlord signature.
  • Prepare all tenant correspondence.
  • Prepare and maintain Leasing Department tenant records.
  • Distribute tenant information to Property Management and Accounting as necessary.
  • Input all tenant information on all properties into App Folio for move-ins, move-outs, renewals, tenant address changes and update any other existing tenant information as required.
  • Prepare agent commission invoices and track annual commissions due.
Qualifications
  • High School Diploma or equivalent.
  • A criminal background check and pre-employment drug screening will be conducted as conditions of employment.
  • Professional appearance and manner.
  • Minimum two-year office experience.
  • Strong computer skills with proficiency in Outlook, Word, and Excel.
  • Familiarity with App Folio software a plus.
  • Ability to work both independently and in a team environment.
  • Prioritize effectively to meet all deadlines and handle several tasks concurrently.
