Our Virginia Beach law firm is seeking an Office Administrator to manage daily operations and provide administrative support for our legal team. Your role is to maintain organizational effectiveness, ensuring the office runs smoothly and efficiently while also facilitating a pleasant work environment. A minimum of five (5) years of experience working in an office administrator/managerial role is preferred.
- Serve as the person of contact for minor technical issues, supplies, equipment maintenance, and employee queries regarding office issues
- Billing/Invoicing
- Schedule meetings and appointments
- Maintain the office condition and arrange necessary repairs
- Update and maintain office/HR policies as necessary
- Organize office operations and procedures
- Assist in the administrative training process for new hires
- Plan in‑house or off‑site activities for the office, like parties, celebrations, and conferences
- Compile and analyze marketing data to measure cost effectiveness
- Prepare an agenda for monthly staff meetings
- Research marketing strategies and make suggestions on the best marketing plan to implement in order to increase online visibility and increase leads.
- Enter data into monthly expense allocation reports
- Organize and maintain employee files as related to contracts, tax forms, paid time off, attendance cards, emergency contact information, etc.
- Process payroll, schedule Federal/state taxes payments, and maintain SIMPLE IRA plans and payments for eligible employees
- Conduct initial assessments and attempt to resolve computer, printer, and other similar repairs
- Proven experience as an Office manager or administrator
- Knowledge of office administrator responsibilities, systems, and procedures
- Proficiency in MS Office and Quicken/Quick Books
- Hands‑on experience with office machines (e.g., computers, fax machines, and printers)
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem‑solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast‑paced environment
- A creative mind with an ability to suggest improvements
- Familiarity with Apple/Mac computers and legal software is preferable
