Core Duties:
- Provide administrative support to project managers and team members (TMs).
- Act as the primary liaison between the project (TMs) and the Back Office.
- Conduct New Hire Orientation in person with onboarding TMs.
- Monitor project TM's paid time off (PTO) and electronic timesheet completion, accuracy, and timely submission. Provide communication between the Back Office and the field of updates to TM schedules and/or absences.
- Obtain information from TMs and prime contractor management when TM accidents or workplace injuries occur for the completion of PEMCCO Incident Investigation Reports.
- Ensure compliance with company policies, contract requirements, and safety regulations.
- Coordinate with TMs to follow up on HR compliance items (i.e., job description signature, corrective action acknowledgement, leave of absence documentation, etc.).
- Assist with project hours budget tracking & monitoring.
- Maintain organized project documentation.
- Schedule and coordinate project meetings, prepare meeting minutes, and distribute relevant project information.
- Gather data for the preparation and submission of accurate & timely reports.
- Maintain written documentation of project communications and decisions to ensure record accuracy and compliance.
- Track administrative deadlines and follow up to ensure timely completion of required documentation and compliance items.
- Perform occasional on-site visits and attend in-person project meetings as required.

Required:
- High school diploma or equivalent.
- 1 year of experience in construction administration, project coordination, or related roles.
- Bachelor's degree in construction management, business administration, or a related field
- 2-4 years of experience in construction administration, project coordination, or related roles
Qualifications:
- Administrative, project support, or back-office operations experience.
- Familiarity with electronic timekeeping and payroll systems.
- Demonstrated proficiency in ADP timekeeping and MS Office Suite (intermediate level).
- Experience with onboarding and HR compliance (e.g., handling timesheets, PTO, and incident reports.
- Experience maintaining documentation such as contracts, invoices, timesheets, or compliance records.
- Ability to work in a fast-paced environment with shifting administrative priorities.
- Ability to maintain confidentiality when handling personnel and payroll information.
