Position Overview:

We’re hiring a confident, people-savvy Executive Assistant to support one of our top financial professionals. This is not your average “assistant” role—this is a dynamic, full-time in-office position that blends executive support, client relationship management, and event coordination. You’ll serve as the trusted right hand of a high-performing advisor and play a key role in delivering a first-class client experience.

Key Responsibilities:
  • Manage the advisor’s calendar, coordinate meetings, and schedule client appointments with clarity and efficiency
  • Serve as the first point of contact for prospects and clients—by phone, email, and in person—with professionalism, warmth, and confidence
  • Make proactive outbound calls to schedule client meetings and follow up on inquiries or leads
  • Oversee client communication and maintain strong, long-term relationships
  • Organize registration, logistics for client workshops and client follow-up.
  • Provide in-person event support (approximately four workshop series per year) and assist with planning and execution.
  • Coordinate with internal team members to ensure smooth progression of client cases
  • Handle day-to-day administrative tasks to support seamless office operations
  • Assist with administrative paperwork such as applications and transfer forms.
Qualifications:
  • Exceptional written, verbal and interpersonal communication skills are required. You enjoy engaging with people and building trust
  • Professional phone presence with the ability to guide conversations toward clear next steps
  • Experience with event planning or client hospitality is a plus
  • Highly organized, detail-oriented, and capable of managing multiple priorities
  • Tech-savvy, with familiarity in Google Workspace (specifically Google Docs and Google Sheets or Excel) Zoom, Redtail CRM, Docu Sign, etc. Experience with Redtail and Share File is a plus.
  • Previous experience in financial services, insurance, or wealth management is strongly preferred
  • Must be local to the Newport New. This role also requires availability for select evening hours during quarterly client workshops. When workshop commitments extend beyond regular hours, work schedules on other days can be adjusted accordingly.
  • College degree preferred but not required.
