Job Overview
WHLR is seeking to add an Office Assistant to our team. The ideal candidate will demonstrate a positive, professional, and client-oriented attitude about the company with coworkers, tenants, clients and the public whether contact is by email, telephone or in person.
Salary Range: $35,000-$40,000. Benefits include company paid time off, gym memberships, and summer hours. Working approximately 25 hours per week. Potential for full time conversion.
Responsibilities- Ensure effective telephone and mail communications both internally and externally to maintain professional image.
- Greet incoming visitors in a prompt, pleasant and helpful manner.
- Monitor visitor access within the office.
- Answer telephones; screen calls, forward calls and/or record and forward messages accurately.
- Receive, sort, and distribute mail within the office; file correspondence and other materials as required.
- Responsible for all shipping and mail services, including picking up and dropping off parcels for the office.
- Perform routine clerical tasks including typing, data entry, filing and operating office machines.
- Maintain office supplies and coordinate replenishment.
- Regularly check and restock snack supplies in meeting rooms.
- Assist with the setup and cleanup of conference rooms for meetings and luncheons.
- Receive and scan company documents into corporate electronic file cabinet in accordance with system requirements.
- Troubleshoot concerns with office hardware and software.
- Communicate maintenance needs of office equipment, including copier, fax machine, etc.
- Working knowledge in Microsoft Office Suite, cloud-based storage software, office equipment, and postage machines.
- Experience in a fast-paced environment preferably Real Estate.
- Ability to work with little supervision and to seek help when needed.
- Ability to build strong internal and external relationships.
- Ability to think independently while working within a group.
- Exceptional communication and customer service skills while maintaining a high level of confidentiality.
- Ability to manage multi-line telephone systems with a professional demeanor.
- Associate's degree or related work equivalent.
- 1 to 3 years of experience in a similar position, preferably in the real estate industry.
