Position: *Purchasing Assistant

Position Overview

The Purchasing Department is recruiting for a part‑time Purchasing Assistant to work 30 hours per week. This position is responsible for providing assistance to the Director of Purchasing, maintaining bid files, processing requisitions, purchase orders and change orders when needed in specialized software and maintaining purchase data in Excel spreadsheets.

    Responsibilities
  • Provide excellent customer service to all vendors, community constituents, and employees.
  • Maintains all purchasing files required for bid files and contracts for Victoria College.
  • Assist and answer basic questions regarding VC’s liability insurance.
  • Process requisitions, purchase orders, and change orders in specialized software.
  • Captures purchasing data into Excel spreadsheets for future bid needs.
  • Distributes all bid information to prospective vendors.
  • Sets up new vendors and maintains vendor database.
  • Assist Director of Purchasing with managing P‑Cards and assisting employees with questions and access.
  • May supervise student workers when necessary.
  • Performs duties within the State and Federal Purchasing regulations with knowledge of standards, policy and procedures.
  • Other duties as assigned.
  • Qualifications
    • High School diploma or GED required.
    • Associate Degree in Professional Office Technology, Business, Accounting or related field preferred.
    • Three years administrative assistant experience required with strong customer service skills.
    • Proficiency in all Microsoft Office programs; with emphasis on excel.
    • Ability to safeguard sensitive or confidential information from intentional or unintentional disclosure.
    • Effective oral and written communication skills.
    • Skill in proofreading materials to ensure accuracy.
    • Ability to use a 10 key calculator and basic office equipment.
    • Ability to independently identify and undertake tasks to support efficient operation of the College.
    • Ability to establish and maintain effective working relationships.
    • Ability to learn and utilize specialized software.
    • Ability to organize multiple tasks and meet deadlines, plus ability to adapt to changing priorities.
