POSITION FUNCTION

Administer small to medium sized projects of varying complexity related to maintenance of existing facilities, including but limited to, building system repairs and replacements, minor remediations, renovations, emergency repairs, and energy improvements.

KEY DUTIES Project Administration
  • Develop project scopes, budget estimates, and schedules.
  • Report project progress to supervisor
  • Coordinate contracted resources, including but not limited to, engineering consultants, hygienists, safety consultants, contractors, and cleaners.
  • Coordinate internal resources on minor projects
  • Inspect sites to ensure quality conformity with contract documents
  • Coordinate external inspection authorities
Documentation
  • Manage online storage of project related materials.
  • Maintain up-to-date information on active projects, including scope, budget, and schedule budget details.
Procurement
  • Develop procurement documents for small to medium size projects
  • Maintain ongoing contractor rosters
  • Determine in sourcing or outsourcing of work
  • Determine and administer appropriate agreement types for external resources. Including, but not limited to;
    Professional Services Agreements and Contractor Work Agreements
  • Participate in the Request for Proposal process
Safety
  • Work with internal Health and Safety teams to conduct risk assessments to determine safety requirements for projects
  • Conduct routine inspections of project sites to verify that safety protocols are implemented and to identify both existing and potential hazards in the workplace.
  • Ensure contractors are following defined safety plans, have current insurance, and are complying with WorkSafeBC regulations.
  • Designate prime contractor and complete all required forms.
Financial
  • Review and process invoicing
  • Monitor project expenses
  • Support development of the annual capital and maintenance budget
Stakeholder Management
  • Communicate project updates clearly and concisely to project stakeholders
  • Develop signage as required for projects
  • Support the development of project communication plans

Perform related duties as needed

INDEPENDENCE
  • Work is generated through the annual maintenance workplan and emergent work resulting from the failures and departmental requirements.
  • Work is reviewed through regular reports and meetings with supervisor.
  • Issues such as deviations from annual budget and approved expenditures are discussed with supervisor with recommendations.
WORKING CONDITIONS Physical Effort

Climb ladders and scaffolding.

Work in awkward spaces such as attics and crawl spaces. (rare)

Mental Effort

Short periods of intense concentration while preparing reports and estimating projects. (often)

Visual/Auditory Effort

Focus on a variety of source data and computer for short periods. (occasional)

Work Environment

Office.

Work on construction sites while performing inspections. (occasional)

KEY

SKILLS AND ABILITIES
  • Organize and prioritize work.
  • Understand and apply the principles and methods of building project management and construction administration.
  • Working level operation of Microsoft Word, Excel and SharePoint.
  • Read and interpret technical reports, plans, codes and regulations.
  • Establish and maintain effective working relationships.
  • Work safely on job sites.
QUALIFICATIONS

Formal Education, Training and Occupational Certification:

Certificate in a discipline related to Building Technology or project management (2 years)

Current and valid Class 5 B.C. Driver's Licence.

Red-seal trade ticket in a field related to building maintenance or building construction would be an asset
