Special Projects Administrative Assistant Responsibilities:- Offering comprehensive administrative support to senior leadership
- Creating, proofreading, and formatting various documents and communications
- Maintaining accurate electronic and physical filing systems
- Acting as a professional liaison for internal and external stakeholders
- Tracking action items, deadlines, and ensuring timely completion
- Coordinating and overseeing special projects from start to finish
- Developing project timelines, monitoring milestones, and reporting progress
- Collecting, analyzing, and organizing data to facilitate decision-making
- Collaborating with different departments for project execution
- Assisting in process enhancements, documentation, and implementation
- Supporting event planning, system launches, facility initiatives, and other projects
- Creating meeting summaries, project updates, and status reports
- Maintaining confidentiality of sensitive information
- Assisting with budgeting, expense tracking, and invoicing for projects
- Supporting onboarding, training coordination, and internal initiatives
- Identifying opportunities to streamline administrative and project workflows
Qualifications:
- 5+ years of experience in roles such as Administrative Assistant, Executive Assistant, or Project Coordinator
- Demonstrated ability in supporting senior leadership and managing multiple priorities
- Associate’s or Bachelor’s degree preferred (or equivalent mix of education and experience)
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
- Quick to grasp new systems and processes
- Experience supporting C-level or senior executives
- Project management experience or formal training is advantageous
- Background in operations, manufacturing, professional services, or similar fields preferred
