The Patient Services Representative serves as the first point of contact for patients, providing a welcoming and supportive experience while ensuring efficient front office operations. This role is responsible for patient registration, appointment coordination, insurance verification, payment processing, and maintaining accurate patient records. The Patient Services Representative works closely with clinical staff to support smooth patient flow, facilitate communication, and ensure all documentation is complete prior to appointments.
Through exceptional customer service and teamwork, this position helps create a positive, organized, and patient-centered care environment.
- Welcomes and assists patients upon arrival, creating a positive and professional first impression.
- Registers new patients and updates existing patient records by collecting required documentation and accurately processing payments for services and products.
- Answers incoming calls using courteous, professional phone etiquette and routes calls appropriately.
- Supports efficient patient flow by notifying clinical staff of arrivals, monitoring appointment delays, and communicating clearly with patients and staff while managing check-in and check-out processes.
- Conducts daily chart reviews to ensure all appointments have complete demographic, identification, insurance, authorization, and billing information prior to visits.
- Places outbound calls to obtain missing health records or other required information as directed by management.
- Assists with scheduling and coordinating patient appointments, including internal scheduling and external referrals.
- Requests and follows up on medical records from outside referral sources as needed.
- Maintains adequate office supply levels by anticipating needs and monitoring equipment functionality.
- Learns new products and maintains accurate inventory records.
- Delivers exceptional customer service to ensure a positive and welcoming patient experience.
- Verifies patient insurance coverage and health benefits with approved providers.
- Sends, receives, and manages medical records and referral documentation to support patient care.
- Keeps the reception area clean, organized, and professional at all times.
- Collaborates effectively with team members to support daily operations in a collegial work environment.
- Other duties as assigned
- High School Diploma or Equivalent (Required)
- Strong customer service background
- 1-2 years of medical reception experience strongly preferred
- Strong interpersonal and communication skills with the ability to interact professionally and compassionately with patients
- Excellent organizational skills and attention to detail, with the ability to manage multiple tasks in a fast-paced environment
- Ability to handle sensitive and confidential information in accordance with HIPAA guidelines
