With a reputation for operational precision and strong cross‑functional collaboration, our client is seeking a detail‑oriented Project Coordinator to support their Project Management team.
About the RoleReporting to the Project Manager, the Project Coordinator plays a critical support role in the successful execution of projects from startup through closeout. This position acts as a liaison between internal departments, consultants, contractors, and suppliers, ensuring documentation, schedules, reporting, and communication are organized and executed with accuracy. This is an excellent opportunity for a technically capable and highly organized construction professional who thrives in a structured, process‑driven environment and is looking to continue building their project management career.
Key ResponsibilitiesProject Support & Coordination
- Work closely with the Project Manager to coordinate all aspects of assigned projects from kickoff through closeout.
- Attend Kick‑Off, Scope of Work, and Mock‑Up meetings.
- Set up internal and external meetings and prepare detailed meeting minutes for PM review and distribution.
- Maintain follow‑up logs and track outstanding action items.
- Communicate daily via phone, email, and in person with project stakeholders.
Documentation & Drawing Control
- Ensure all required drawings and documentation are received (architectural, structural, slab edge, mechanical, electrical – CAD and PDF/IFC formats).
- Download and maintain updated construction drawings weekly and notify the PM of changes.
- Print and prepare shop drawing packages for takeoff, breakdown, and installer kickoff meetings.
- Issue stamped shop drawings for contractor approval.
- Utilize Bluebeam and other tools for drawing review and markups.
Construction Management Systems & Reporting
- Access and maintain construction management software to track deficiencies, RFIs, SIs, risk review trackers, and action items.
- Update SI logs and notify PM of potential extras.
- Upload meeting minutes, reports, and documentation into project management systems (e.g., Procore, Build).
- Review engineer and third‑party consultant field reports and log action items accordingly.
- Update project schedules and notify stakeholders of changes.
Budget, Scope & Administrative Support
- Review awarded documents and specifications; report discrepancies to the PM and Estimating.
- Order samples as per bid proposal and coordinate submission to contractors.
- Prepare installer tender packages and assist in issuing installer contracts.
- Update part quantity and area reports.
- Track outstanding Change Orders (CCOs) and follow up with contractors.
- Prepare LEED documentation as required.
- Assist in preparing VMU checklists, milestone schedules, and observation logs.
Project Closeout & Continuous Improvement
- Collect and organize closeout documentation.
- Populate and maintain Lessons Learned logs and document corrective action items.
- Track back orders, e‑requests, and production updates.
- Maintain general project information and installation trackers.
- Support site visits with the Project Manager and Field Managers to gain exposure to installation processes.
- Bachelor’s Degree or Diploma in Architectural Technology, Construction Management, or Civil Engineering.
- Minimum 2–3+ years of experience in project coordination within the construction industry.
- Strong ability to read and interpret architectural drawings and blueprints.
- Proficiency in Microsoft Office (Outlook, Excel), Bluebeam, Build, Procore, and related project management software.
- Detail‑oriented with strong organizational and communication skills.
- Ability to work independently with minimal supervision.
- Professional discretion when handling confidential information.
- Primarily office‑based with some on‑site responsibilities.
- PPE required for site visits.
- Full Health and Safety training required (Working at Heights, WHMIS).
- Occasional travel to sites, clients, or suppliers.
- Flexibility to work overtime as required.
