Distribution Project Administrator
Our Distribution team is currently looking to add a Project Administrator to our growing team, based out of our Vaughan, ON office.
Reporting to the Project Manager, this position is responsible for assisting with the management of electrical utility construction projects from proposal development and award through contract closeout. Responsibilities may include assisting PMs with project planning, scheduling and control of related activities, tracking project activities and schedules, assisting with the development of project updates, costs, overruns, etc.
Duties and Responsibilities- Provide support to project managers during the initiation, execution and completion of major construction, expansion, extension, renovation or component replacement projects
- Assist with the coordination of project plans / schedules / materials to ensure project quality, reliability, cost and timing objectives
- Assist with the development of project assignments, timetables and responsibilities for team members
- Assist the project management team in maintaining and updating project records
- Coordinate multiple project activities including organizing personnel, materials and equipment
- Assist with the purchasing, receiving and invoicing of vendors and subcontractors
- Liaise amongst clients, vendors, subcontractors, customers and crews to coordinate project execution and completion
- Coordinate and track progressive and final project billing / invoicing
- Monitor completion of project tasks, track document approval process, and provide support with the preparation of project reports and project presentations as required
- Help define and forecast needed skills to meet project objectives
- Support the project managers with the review of man hour reports to ensure accuracy of project charges
- Post-Secondary education in Business / Office Administration
- Related experience may be considered in lieu of education
- 4 years of Construction Project support experience
- Understanding of project management fundamental concepts and principles
- Working knowledge of MS Office (Word, Excel, Project, PowerPoint)
- Basic problem identification and resolution skills with emphasis on "root cause" analysis
- Knowledge of JDE, Hubble, Eco Sys
- Previous experience with construction projects in the electrical field, in particular with utility providers in the GTA
