Our client in Vaughan, a successful and busy company in land development is seeking to hire an Executive Assistant.

Job Summary

The Executive Assistant will play a crucial role in supporting the senior executives by facilitating smooth and efficient operation of the executive office. This role demands a highly resourceful individual with strong emotional intelligence, self-motivation, and superior organizational abilities. The Executive Assistant will be responsible for managing schedules, coordinating meetings, and handling daily administrative tasks.

Responsibilities
  • Oversee the calendars of senior executives, optimizing their time and prioritization of vital tasks.
  • Arrange all aspects of meetings, including scheduling, sending reminders, and organizing necessary materials.
  • Manage correspondence and coordinate incoming calls, ensuring high levels of discretion and confidentiality.
  • Assist in the preparation of regular reports and presentations.
  • Arrange travel logistics such as flight bookings, accommodations, and itineraries.
  • Maintain filing systems, ensuring information is kept confidential and easily accessible.
  • Aid in the management of projects, ensuring they meet timelines and budget requirements.
Qualifications
  • At least 3-5 years of experience in an administrative role supporting senior-level management.
  • Exceptional organizational skills and attention to detail.
  • Strong communication and interpersonal skills.
  • Proficient in MS Office and other administrative software.
  • Ability to handle multiple tasks while maintaining high levels of professionalism and confidentiality.
