Assistant Community Manager The Assistant Community Manager is responsible for supporting the Community Manager in overseeing the daily operations and financial functions of the housing community. This role contributes to delinquency management and rent collection to optimize cash flow and the property’s financial position. You will manage all phases of operations in the absence of the Community Manager, including personnel, leasing, maintenance, financials, administration and risk management.
On-site, you supervise property operations and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability considerations.
- Minimum of 1 year experience with affordable housing programs, including LIHTC, HUD (Project Based Section 8, Section 236, PRAC, 811 PRA, USDA - Rural Development (515), HCD, HOME Funds and Bonds).
- Affordable Housing Accreditation (HCCP, HCP-E, COS, BOS, TCS, CPO) or other applicable designations are preferred but not required.
- Post all payments and income received from all applicants, current residents, and non-current residents accurately and timely.
- Process and reconcile daily accounts receivable.
- Monitor and follow up on bad debt, including late notices, resident and guarantor contact, and eviction filings.
- Help the property meet budgeted revenues, expenses, and Net Operating Income.
- Post charges to resident and non-current resident accounts; bill back utilities where applicable.
- Perform end-of-month closing procedures and reporting.
- Maintain accurate records and audit resident files for accuracy.
- Walk units and post move-out charges, statements, and security deposit refunds.
- Regular/daily on-site attendance is required.
- Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
- Provide ongoing training, coaching, counseling, and guidance to ensure staff effectiveness and compliance with Asset training benchmarks.
- Promote harmony and quality job performance through leadership and support.
- Ensure staff compliance with Company policies and procedures.
- Strategic Leasing Management: ensure leasing techniques are effective, closures achieved, follow-up maintained, leases signed, and reporting systems up to date.
- Implement marketing strategies and systems from the annual marketing plan.
- Address resident complaints and requests to ensure satisfaction.
- Develop and implement resident retention programs (e.g., resident events, promotions, monthly newsletter).
- Show, lease, and move-in prospective residents effectively.
- Provide excellent customer service and monitor maintenance service request turnaround and responsiveness.
- Maintain property appearance and ensure timely repairs through regular inspections and tours.
- Assist with supervision of all business functions related to operations.
- Plan and optimize use of property resources, equipment, and supplies (e.g., obtain bids, address inadequate service).
- High School Diploma or Equivalent;
Bachelor’s degree preferred or two years of housing industry experience; or one to two years related experience and/or training; or equivalent combination of education and experience. - Ability to perform onsite software functions; basic computer skills required.
- Basic knowledge of Fair Housing Laws and OSHA requirements.
