SUMMARY OF JOB PURPOSE

The Senior Payroll Administrator is responsible for the accurate and timely processing of payroll and related activities. This role works collaboratively within a team of Payroll Administrators, with responsibilities assigned by the Payroll and Benefits Manager. Duties may include individual ownership of specific processes or shared responsibility for complex activities such as year-end reporting and compliance.

ESSENTIAL FUNCTIONS AND MAJOR RESPONSIBILITIES

Responsibilities may include, but are not limited to, the following. Specific duties may be assigned to individual team members or completed collaboratively:

  • Prepare, analyze, and process payroll, including entering payroll data into Dayforce and reviewing system-generated data to ensure completeness and accuracy.
  • Process payroll status changes such as new hires, terminations, rate changes, and other employee updates.
  • Audit and validate time reporting uploads.
  • Provide responsive and professional customer service to employees and the HR team regarding payroll-related questions.
  • Process wage garnishments and other payroll deductions.
  • Coordinate 401(k) contribution and employer match reporting with the plan administrator.
  • Perform payroll internal controls to validate the accuracy and completeness of payroll processing.
  • Support SOX compliance by performing and documenting payroll-related controls, maintaining audit‑ready records and assisting with internal and external audits as required.
  • Maintain employee payroll files, including digital filing and periodic audits to ensure proper record retention.
  • Prepare monthly payroll‑related journal entries, account reconciliations, and reports to support the finance department.
  • Participate in year‑end payroll processing and reporting activities, including W‑2 preparation and validation, working independently or as part of the payroll team as assigned.
SECONDARY RESPONSIBILITIES
  • Sort and distribute incoming payroll‑related mail and review vendor invoices for accuracy.
  • Maintain and update standard and ad hoc payroll reports.
  • Assist with audits related to workers’ compensation, 401(k) plans, and financial statements.
  • Support special projects and other payroll‑related tasks as assigned.
INTERPERSONAL CONTACTS

This position interacts regularly with Human Resources team members at both the Corporate office and field locations. The role also supports internal stakeholders requiring payroll data and assists employees with payroll‑specific questions as needed. Senior Payroll Administrators collectively serve as liaisons with third‑party payroll vendors and service providers.
