Summary

This full‑time contract position will work within the corporate Technical Training Center. The role will provide training support to the corporate apprentice, journeyman, craftsman and continuous training programs and will perform related clerical/administrative tasks. In addition, the position will provide data entry on multiple computer applications, coordinate schedules, and research answers for policy application. This position will also assist the COR with training contracts, conduct annual training needs assessments, track training plan execution, and develop training reports.

Position

Responsibilities Administrative/Clerical Support (70%)
  • Performs data entry using multiple computer applications, including Microsoft Office, Asset Suite, People Soft, Concur (Government travel service), Microsoft SharePoint, etc. May enter inventory management data, vehicle mileage, training, travel, pen base program, utility bills, and more.
  • Verifies group/organization timekeeping is accurate and follows corporate established guidelines, policies, and negotiated bargaining agreements.
  • Prepares travel authorisation and arrangements for management and staff travel using online systems such as Concur as required.
  • Performs data entry for P‑card transactions, material requests and invoices.
  • Answers telephone calls and responds to routine telephone requests with standard answers.
  • Maintains calendars, makes appointments, and arranges for meeting rooms as requested.
  • Establishes and maintains office files and provides clerical support.
  • Processes and submits requests to manager for approval for needed office supplies.
  • Serves as point‑of‑contact person for district or other office personnel regarding general district or administrative information.
  • Coordinates and assists manager with development of annual managers’ and employees’ performance appraisal plans.
  • Arranges travel (domestic, invitational and foreign) such as airline arrangements, hotel accommodations, rental car and shuttle reservations.
  • Coordinates and assists managers and staff with time & attendance per established procedures.
  • Provides overall administrative support to staff members by acting as the liaison with HCM, IT, SLMO, Workflow Connection, Security, Safety, Motor Pool, Facilities / Space Management and administrative services groups. This may include processing, coordinating, requesting and tracking.
  • Assists with scheduling interviews through Fieldglass and prepares interview packets for assigned manager(s).
  • Performs data entry, provides maintenance, tracking and reporting for a variety of organizational databases and management reports.
  • Manages all records in accordance with the Information Governance & Lifecycle Management (IGLM) policy, procedure and compliance requirements.
  • May coordinate or assist with organisational and agency events such as presentations, retirements, project or employee recognition celebrations and CFC events.
Training Program Support (30%)
  • Reserves rooms and coordinates room configuration and set‑up. Verifies supplies needed for programme or courses are in the room.
  • Schedules and coordinates instructors.
  • Provides data monitoring, entry and tracking in HRMIS enterprise learning system.
  • Collaborates with staff, business units and procurement to support COR responsibilities.
  • Participates in developing and conducting training needs assessments/surveys.
  • Reviews training needs assessments and creates statistical reports that show what training needs to be provided to whom, how many, where and when.
  • Develops and coordinates Apprentice Training Schedules.
  • Compiles budget data for corporate managers for long‑range planning of training and forecast for budget considerations.
  • Prepares budgetary reports used for cost‑center budgeting and tracking, and work‑plan development for manager review.
