Executive Administrative Assistant

Our client is seeking a highly capable Executive Administrative Assistant to provide high-level administrative and project support to senior leadership in a complex, mission-driven organization. This role blends executive support with initiative coordination, requiring someone who can translate strategy into action, manage competing priorities, and communicate clearly across diverse stakeholders. The ideal candidate is proactive, highly organized, and trusted to handle sensitive work with professionalism and sound judgment.

This role is onsite in Vancouver, Washington.

  • Translate leadership priorities into organized action plans, timelines, and next steps that keep initiatives moving forward.
  • Manage executive calendars, meetings, and logistics to ensure leaders remain focused on strategic objectives.
  • Prepare, organize, and distribute meeting materials, agendas, and documentation for leadership and governing bodies.
  • Capture key decisions, action items, and outcomes from meetings and ensure timely follow-up and execution.
  • Track milestones, deadlines, and deliverables across multiple projects using simple and effective tracking tools.
  • Draft concise updates, summaries, and follow-up communications for executives and internal stakeholders.
  • Coordinate with cross-functional teams to align priorities, resolve dependencies, and maintain momentum on initiatives.
  • Manage records, contracts, and confidential documents in compliance with retention and governance requirements.
  • Support travel, scheduling, and logistical needs for executives and leadership groups.
  • Provide backup support for front-office or administrative operations as needed.
  • 5+ years of experience supporting senior executives, leadership teams, or complex organizations in an administrative, executive support, or project coordination capacity.
  • Demonstrated ability to translate high-level goals into organized plans with clear owners, timelines, and deliverables.
  • Experience using project management, task-tracking, or collaboration tools to monitor multiple work streams.
  • Exceptional written and verbal communication skills, with the ability to synthesize complex information clearly.
  • Proven judgment in handling sensitive information with discretion and professionalism.
  • Ability to work independently, manage time effectively, and stay productive with minimal supervision.
  • High comfort operating in environments where priorities shift and information may be incomplete.
  • Proficiency with modern office tools, including document management, scheduling, and collaboration platforms.
  • Strong organizational skills with the ability to manage multiple priorities under tight deadlines.
  • Bachelor’s degree or equivalent professional experience.
Compensation

$30-$45.73/hr. (DOE)
