Role DescriptionAs part of the Oakridge Park team, the Property Administrator supports the Senior Property Administrator and reports directly to the Director. The role requires strong communication skills, exceptional attention to detail and the ability to stay organized in a fast‑paced environment. It is based on‑site at Oakridge Park, Vancouver, BC.
Responsibilities- Prepare and deposit all rent payments and apply monthly rental payments to tenant accounts, including posting to Yardi.
- Collect outstanding tenant rents and respond to tenant inquiries; analyze and act on monthly aged receivables reports.
- Prepare and provide tenant statements of account, ensuring accuracy of posted rental charges, payments and chargebacks.
- Accounts Payable – code, verify and input invoices for timely processing, including tracking and monitoring utility accounts.
- Handle account reconciliations and process adjustments as needed.
- Prepare demand letters in compliance with lease terms and follow up when required.
- Administer lease‑related payments, such as tenant allowances and tenant chargebacks.
- Correspond with tenants to ensure accurate insurance certificates/coverage.
- Track percentage rent and sales overages and follow up accordingly.
- Maintain and update service contracts database; ensure service agreements and purchase orders are entered into Yardi.
- Maintain and update tenant contact information in CRM and Yardi.
- Prepare and reconcile Visa transaction statements in Workday.
- Process monthly gift card reconciliation.
- Distribute annual rental notices and year‑end adjustment notices.
- Assist in preparing various monthly, quarterly and annual reports.
- Other related duties as required.
- 3+ years in a similar role with an accounting and/or bookkeeping focus.
- Basic understanding of lease interpretation and real‑estate industry experience is an asset.
- Post‑secondary education in a related field is preferred.
- Experience with Yardi is an asset.
- Strong organizational, multitasking and time‑management skills.
- Excellent analytical and creative problem‑solving skills.
- Strong oral and written communication skills in English; knowledge of another language is an asset.
- Ability to prioritize workload and handle competing priorities and deadlines.
Annualized base salary range: $55 000 – $62 000 (actual salary will consider experience, market, and internal equity). The role includes a performance‑based incentive plan, comprehensive health & dental benefits, a defined contribution pension plan and paid time off.
LocationOakridge Park, Vancouver, BC (on‑site). Remote work is not applicable.
