Overview

Are you interested in making a positive impact on your community? If so, the Community Life & Culture Agency has the perfect opportunity for you as a Project Coordinator with the Housing Services Department.

The Project Coordinator performs professional-level administrative and project management work in support of City programs, initiatives, and services. This position is responsible for planning, coordinating, and monitoring projects to ensure timely completion of deliverables, budget compliance, and achievement of program goals. The role includes research and analysis, stakeholder coordinator, contract and grant support, performance tracking, and preparation of reports and presentations for City Leadership and external partners.

When assigned to Homeless Services, the Project Coordinator also reports field outreach operations, collaborates with service providers and public safety partners, monitors shelter and program capacity and helps implement policies and strategies to enhance service delivery and community impact.

When assigned to Affordable Housing, the Project Coordinator also monitors federal housing grants such as CDBG, HOME, and ESG for compliance, coordinates with nonprofit and City partners to support housing initiatives, and assists with development activities, grant documentation, and oversight of funded projects.

Essential Functions
  • Performs professional level work involving planning, developments, scheduling, implementation, and monitoring of City programs, projects, and services, ensuring timeliness deliverables and milestones are met.
  • Conducts research, analysis, administrative studies, and prepares clear reports, recommendations, presentations, and documentation to City leadership and external partners.
  • Coordinates community engagement, public outreach, and stakeholder meetings, and responds professionally to inquiries from residents, businesses, and partner agencies.
  • Serves as a liaison between City departments, vendors, contractors, and community partners to support effective project coordination and problem solving.
  • Supports procurement and contract administration activities, including drafting scopes of work, maintaining accurate project and contract records, and ensuring compliance with applicable audit, reporting, and funding requirements.
  • Monitors program and vendor performance using data management systems to track metrics, summarize outcomes, and recommend process improvements.
  • Assists with the preparation, monitoring, and tracking of project budgets, contracts, and expenditures to ensure fiscal responsibility and compliance.
  • Prepares and submits grants or funding applications and required program reports.
  • Job responsibilities may require travel.
  • Performs other related duties as assigned.
Additional Responsibilities – Homeless Services
  • Coordinates field operations and logistics for City outreach teams, ensuring alignment with service providers, County systems, and referrals to the Ontario Wellness Campus.
  • Provides oversight and guidance to case managers and outreach staff, facilitating case conferencing and ensuring consistent client‑centered service delivery.
  • Monitors daily bed availability and client eligibility in partnership with the Ontario Police Department Community Engagement Team (CET) and other stakeholders.
  • Develops and implements policies, procedures, and outreach strategies to enhance engagement, ensure regulatory compliance, and inform funding and program decisions.
