Position Summary

We are seeking an experienced and detail-oriented Stock Plan Administrator to join our dynamic People & Culture Shared Services team. This role will be instrumental in administering and scaling equity compensation programs—including stock options, RSUs, PSUs, and Employee Stock Purchase Plans (ESPPs)—across a rapidly growing organization, which includes TSX-listed entities (TSX:

WELL, TSX:

AIDX.TO) and additional companies preparing for IPO within the next few years.

You will manage the end-to-end administration of equity awards and the ESPP, and contribute to the implementation and management of our equity platform (Share works). This position plays a critical role in ensuring compliance with tax and payroll regulations and serves as a key liaison between People & Culture, Finance, and a broad group of stakeholders—including executives, employees, physicians, and consultants.

What you will be doing

Equity Administration

  • Administer equity grant events (options, RSUs, PSUs), ensuring accurate setup, approvals, and employee communications.
  • Manage Employee Stock Purchase Plan (ESPP) enrollment, contributions, purchases, and reconciliations in coordination with Payroll and Finance.
  • Manage monthly and ad-hoc vesting events in Share works, including reconciliations and payroll reporting.
  • Maintain comprehensive equity records and prepare reports for Finance, Payroll, and external stakeholders.

Share works Implementation & Platform Management

  • Contribute to the full-cycle implementation and configuration of the Share works (Morgan Stanley) equity management platform.
  • Maintain the platform post-launch, ensuring data integrity and seamless integration with HRIS and payroll systems.
  • Develop workflows, reporting tools, and process automations to support scaling equity operations.

Payroll & Financial Collaboration

  • Partner with Payroll to ensure proper taxation, income reporting, and journal entry (JE) processing for all equity transactions.
  • Support quarterly and year-end financial close activities, including reconciliations, tax remittances, and audit documentation.
  • Coordinate with Finance to ensure timely execution of banking transfers and journal entries related to equity events.

Compliance & Regulatory Oversight

  • Ensure compliance with public company standards, securities regulations, and local/global tax laws (particularly in Canada).
  • Monitor regulatory changes and recommend updates to policies, procedures, or systems as needed.

Internal Customer Support & Communication

  • Serve as the subject matter expert for all equity-related inquiries from a broad internal audience, including executives, employees, physicians, and consultants.
  • Host onboarding sessions, educational workshops, and Q&A forums for plan participants.
  • Create and maintain clear, accessible internal resources, including FAQs, guides, and process documentation.

Cross-Functional Collaboration

  • Collaborate with Finance and Business Unit leaders across the organization to ensure alignment and understanding of equity compensation programs.
