This position is responsible for assisting in the operation of the Mortgage Administration Department, Head Office. This position performs all aspects of mortgage funding, property tax administration and additional duties that support the mortgage administration process.
Job Description- Executing predefined report queries on a scheduled and ad hoc basis.
- Maintaining existing department records and manuals within Microsoft® SharePoint®.
- Ensuring updates and reviews of manuals are scheduled and completed by relevant parties.
- Posting of all financial transactions to mortgage subledgers which includes payments received from HO and the branches, cheques issued and loan adjustments.
- Daily balancing of all financial transaction postings in conjunction with the Accounting Department.
- Ensure that all daily financial postings are scanned to the Mortgage Administration area of the Portal.
- Create daily/monthly PAC file for submission and maintain electronic copies.
- Review rejected PACs, take corrective action and advise Branches accordingly.
- Review daily Apply PAC Payments Report for rejections and ensure that correcting entries are posted to the banking system.
- On a monthly basis post the sundry and tax account interest.
- To assist with the payment of property taxes for all Companies.
- Liaise with property tax departments, borrowers, property managers, regional branches with respect to monitoring property taxes to ensure accurate and timely payment processing.
- Opening new taxes files annually for municipalities where property taxes are paid.
- Ongoing day-to-day organization and maintenance of tax files and updating of reports, as new loans are added to or deleted from the mortgage system. Maintain all municipal tax files in an orderly fashion.
- Each year issue tax adjustment letters immediately after the final tax payment on all loans to ensure that sufficient funds are available to pay the following year's property taxes in full.
- Monitor and follow-up with the Branches on a monthly basis to ensure that proof of payment of property taxes has been received on all mortgages where property taxes are not collected and update the banking system.
- Advise the Manager if follow-up is not completed in a timely manner or of delinquent taxes.
- Ongoing monitoring of the Branches to ensure that property tax data is being correctly entered in the banking system.
- Ensure that all daily financial postings are scanned to the Portal.
- 5 years experience in a similar position within a mortgage department
- Strong computer skills including the Microsoft ® suite of office solutions, and advanced Excel and Intermediate Word
- Experience with SQL queries is an asset
- A self-starter who can work independently or as part of a team
- Excellent communication skills, both written and verbal
- Fluency in French is an asset
- Strong interpersonal, organizational and time management skills
- Ability to establish and set priorities
- Adaptable, flexible and responsive to change
- Work well under pressure and to tight deadlines
