The Program and Training Assistant provides comprehensive administrative and operational support to three graduate programs: the Master of Psychology – Health and Wellness, the Master of Counselling Psychology – Art Therapy, and the Master of Arts / Master of Industrial-Organizational Psychology.
This role works closely with Program Directors, faculty, training departments, and students to support the effective delivery of academic programming, clinical and experiential training processes, and accreditation-related requirements. The Assistant helps ensure the smooth day‑to‑day functioning of the programs and the timely completion of academic and administrative milestones.
The Program and Training Assistant serves as a key point of contact and ambassador for the programs, engaging professionally with students, faculty, internal departments, and external partners. The role requires strong organizational capacity, attention to detail, discretion, sound judgment, and the ability to manage multiple competing priorities in a fast‑paced graduate academic environment. Strict adherence to confidentiality, professional standards, and institutional privacy requirements is essential.
Education/ Experience
- Bachelor’s Degree preferred;
Associate degree or an equivalent combination of education and relevant experience will be considered - 1–2 years of administrative, office, or academic support experience required
- Experience in a higher education or student services setting preferred
- Strong organizational skills and ability to manage multiple tasks

- Ability to maintain confidentiality of student and program information

- Provide administrative support to Program Directors
- Respond to student inquiries and assist with general program communications
- Support coordination of program schedules, meetings, and communications
- Assist with faculty onboarding and administrative needs
- Maintain accurate and confidential student records and program files
- Help coordinate orientations, events, and program activities
- Assist with formatting and organizing accreditation and Ministry‑related documents
- Support collection and organization of data for program reporting
- Track deadlines and help ensure required materials are submitted on time
- Maintain organized program files and documentation
- Assist with practicum and training‑related paperwork and tracking
- Maintain student documentation such as hour logs, evaluations, and forms
- Support coordination of Program Exam processes as required
- Support administrative requirements for program Thesis, Capstone and Major projects
- Provide administrative support to program faculty as required
- Responsible for preparing and processing internal documentation and institutional forms; receiving and reviewing submissions for accuracy and completeness; creating and maintaining related records; and coordinating monthly invoices, payment forms, and associated financial documentation in alignment with institutional policies and timelines.
Perform other duties as assigned in support of program operations, student success, and departmental priorities as operational needs evolve.
Expected Salary Range$45,000.00 – $48,000.00
Work Environment (Physical Demands)The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling and significant fine finger dexterity. Generally, the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
