Cozen O'Connor LLP is seeking an enthusiastic, full-time Legal Administrative Assistant to join the corporate practice group in our Vancouver office. This is a full-time, onsite position.

This is a unique opportunity to support a busy and engaging practice. The ideal candidate is able to multi-task under numerous and tight time constraints, with unwavering attention to detail.

The expected annual base salary range for this position is $53,000 - $63,000. The offered salary will be determined based on factors such as job knowledge, skillset, experience, and internal and market equity.

Responsibilities
  • Provides assigned individuals with a variety ofgeneral supportduties such as managing calendar appointments,maintainingreminder lists, making travel arrangements,andmaintainingand filing documents to support the smooth operation of the practice group;
  • Monitors practice group emailsand responds to those that can be addressed;
  • Manages various finance related duties, including but not limitedto,processing invoices, producing internal expense reports, and performing other duties tofacilitateand support the financial administration needs of the group;
  • Assists the practice group’s Legal Practice Assistants (LPAs) with various support duties, including transcribing, typing,scanning,copyingandprinting materials;
  • Prepares mail packages for large transactions and closings;
  • Assists with inputting minute book documents into the virtual minute book software;
  • Prepares,proofreadsand processes engagement letters and other correspondence as requested by practice group paralegals and/or LPAs;
  • Assists with managingnew file openingsin accordance withthe firm’s procedures;
  • Inputs and updates contacts andmailinglistsfor lawyersinthe firm’s contact management database;
  • Provides daily lunch reliefto the Receptionist by working from reception desk at assigned times each day;
    Fills in at reception on the days the Receptionist is not in the office for any reason;
  • Responsibilities associated with the job may change from time to time in accordance with business needs; incumbent may be required to perform other relevant duties as assigned.
Qualifications
  • Office or clerical administrative experience is required; experience working in a law firm and corporate records will be considered an asset;
  • Full proficiency in Microsoft Office applications with advanced levels in Word and Outlook;
  • Aptitude to learn and master other software tools that are critical to the role, including the firm’s expense management system (Chrome River), contact management system (Interaction) and document management system (iManage);
  • Ability to draft, proofread and edit correspondence, memoranda, and e-mails with minimal supervision;
  • Excellent communication skills and ability to work confidently and professionally across all levels of the firm;
  • Exceptional time management and organizational skills to maintain smooth workflows;
  • A self-starter who takes initiative, thinks strategically, and is anticipatory.
  • Demonstrates sound judgment, strong problem‑solving skills, and consistently maintains confidentiality and discretion;
  • Ability to work autonomously and collaboratively as part of a team environment;
  • Abilityto work in the office five days a week, Monday through Friday.
