The Administrative Assistant (part-time) provides part-time administrative, operational, and executive support across Evidinno’s leadership, operations, and marketing activities. This role supports day-to-day office administration, operational processes, marketing coordination, conference preparation and publication activities, and executive assistance. The successful candidate is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced, collaborative environment.

This is a temporary part-time position (10-month term contract) with the possibility of renewal.

Responsibilities

Office Administration & Operational Support

  • Provide general office administration and day-to-day operational support across teams.
  • Serve as a gatekeeper and conduit between departments.
  • Maintaining organized digital filing systems and shared drives.
  • Assist with internal systems, process improvements, and documentation.
  • Coordinate office logistics, supplies, and vendor relationships as needed.
  • Maintain the workplace organized, professional, and conducive to productivity.
  • Coordinating IT needs related to data storage, access, and secure file sharing.
  • Support the operations team with administrative tasks.

Marketing & Communications Support

  • Coordinate development and dissemination of marketing and communication materials including website updates, Linked In posts, etc.
  • Support preparation of marketing collateral for conferences and business development activities.

Conference & Publication Support

  • Identify upcoming conferences and publication opportunities relevant to company activities.
  • Maintain conference and publication calendars, timelines, and submission deadlines.
  • Support the submission of abstracts, posters, and related materials to conference platforms.
  • Track status of submissions and follow up with relevant stakeholders.
  • Support preparation and logistics for conference attendance, including registration and materials organization.
  • Provide administrative support to executive leadership as needed.
  • Assist with calendar scheduling, meeting coordination, and preparation of meeting materials.
  • Draft and format professional correspondence, documents, and presentations.
  • Support coordination of executive travel and event logistics when required.
  • Provide HR administrative support, including recruitment coordination, onboarding activities, employee engagement initiatives, and updates to policies and procedures.
  • Handle sensitive information with confidentiality and professionalism.
Qualifications
  • 2–4 years of experience in administrative, operational, or executive support roles.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Experience coordinating marketing or communication activities is preferred.
  • Familiarity with conference or publication submission processes is preferred.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and collaboration tools (Teams, SharePoint, Zoom).
  • Comfortable supporting basic IT coordination and digital file management (One Drive, SharePoint, Teams).
  • High attention to detail and strong follow-through.
  • Ability to work independently and proactively anticipate needs.
  • Professional discretion when handling confidential information.
  • Located in the Greater Vancouver Area
