We’re seeking an organized and reliable Administrative Assistant to join our growing team and help support our operations.

Position Overview

As an Administrative Assistant at Skymark Projects, you will play a key role in ensuring the smooth day-to-day operations of our office. You’ll be the first point of contact for clients, subcontractors, and team members, providing professional administrative support to project managers and leadership.

The ideal candidate will exhibit high standards, excellent communication skills, and have an ability to take initiative, and prioritize daily tasks. A strong ability to take charge and meet tight deadlines will ensure your success in this multi-faceted role.

Key Responsibilities
  • Answer and direct incoming phone calls and emails
  • Manage scheduling, appointments, and calendar coordination
  • Assist with document preparation, including contracts, reports, and project documentation
  • Maintain organized filing systems (digital and physical)
  • Order office supplies and coordinate with vendors
  • Support the project management team with administrative tasks
  • Handle incoming and outgoing mail and deliveries
  • Prepare meeting materials and take minutes as needed
  • Assist with data entry and tracking of project information
Qualifications
  • 2+ years of administrative experience (construction or related industry experience is a plus)
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently and collaboratively in a fast-paced environment
  • High attention to detail and a positive, professional demeanor
