Position: ASI Events and Outreach Student Assistant (Solano)

Definition and Purpose

Under the supervision of the Assistant Coordinator—Student Programs and Administrative Operations, the ASI Events and Outreach Student Assistant supports the planning, promotion, and execution of engaging campus events. This role assists with event logistics, marketing efforts, and on‑site coordination to help ensure event programs are well‑organized, professionally delivered, and reflective of the diverse interests of the Cal Poly Maritime Academy community.

Working closely with ASI staff and campus partners, the ASI Events and Outreach Student Assistant contributes to events from concept through completion, helps implement established guidelines and procedures, supports outreach and promotional activities, and assists with event setup, execution, and wrap‑up to create meaningful campus experiences.

This position is based at the Cal Poly Maritime Academy on the Cal Poly Solano Campus in Vallejo, CA.

Requirements Educational Requirements and Qualifying Experience
  • Must be a currently enrolled student at Cal Poly with a minimum of 6 units. Graduate students must carry 4 units.
  • Experience with event planning preferred.
  • Program specific experience preferred.
  • Ability to be highly organized and have good planning skills.
  • Excellent oral and written communication skills.
  • Ability to work with various populations and those with special limitations or needs.
  • Experience in leadership or management.
  • Organizational abilities and experience.
  • Interest in music or live entertainment.

Essential Duties and Responsibilities Event Support
  • Provide high‑quality customer service to staff, students, vendors, participants, and campus partners.
  • Responsible for coordination, promotion, and execution of events, including set‑up, on‑site support, and tear‑down.
  • Support event assessment including but not limited to post‑event survey distribution.
  • Be available to work scheduled events and attend required meetings and trainings.
  • Event follow‑up with agency (if applicable).
  • Coordinate support staff duties and/or roles for special event activities.
  • Develop relationships with other college campuses to provide routing opportunities and sharing of information.
  • Assist with the set‑up and monitoring of event registration and ticketing platforms.
  • Provide support for seasonal special events and develop relationships with other campus clubs and departments and seek opportunities for collaboration.
  • Adhere to and enforce all ASI departmental policies and procedures.
  • Maintain prompt hours and follow absence procedures.
  • Act as a program ambassador at all times with extensive program knowledge.
  • Maintain positive, collaborative working relationships with staff and co‑workers.
  • Serve as a role model by demonstrating professionalism, leadership, and a commitment to student development.
  • Ensure a safe environment for all participants.
Marketing & Communications Support
  • Ensure ASI program identity standards, professionalism, and brand consistency are maintained across all marketing and communication materials.
  • Actively engage in the creation, implementation, and ongoing revision of ASI marketing and communication plans including digital, print, and social media content.
  • Develop and maintain marketing timelines to ensure programs and events are well advertised.
  • Gather and organize content for marketing requests, communication plans, and promotional campaigns.
  • Collaborate with ASI staff, graphic designers, photographers, videographers, and other program areas on marketing campaigns and collateral materials.
  • Assist with coordinating and supporting photo and video shoots.
Other Duties and Responsibilities
  • The person holding this position is considered a "mandated reporter" under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in ASI policy as a condition of their employment.
  • Other duties as assigned.
Benefits Compensation and Hours
  • Hourly Pay Rate: $16.90 per hour
  • Hourly Pay Range: $16.90 per hour - $16.90 per hour
  • Maximum 20 hours per week.

May require working late nights, weekends, and holidays.

Requires a minimum of Fall 2026 work availability.
