This foundational, support‑focused role is essential to the daily operations of the branch, providing high‑quality, high‑touch administrative support to Financial Advisors, prospective and existing clients, and internal team members. In this role, the associate will assist multiple departments - including client service, advisory, and marketing - while helping drive key initiatives such as digitizing office records and enhancing client communications. Core Responsibilities:Office & Client Support
- Work both independently and within a dynamic team environment to provide crucial support to the financial advisors and branch office.
- Answer incoming calls and handle a high volume of daily client interactions across phone, in‑person, virtual, and mail channels, providing professional assistance and directing inquiries to the appropriate team members.
- Schedule client appointments and review meetings using online scheduling tools while managing basic inquiries and ensuring a smooth, organized client experience.
- Prepare letters, forms, reports, and organized client review materials - including reports and meeting folders - to support service of existing clients and prospecting for new clients.
- Assist financial advisors in preparing meeting summaries and communicating follow‑ups to clients.
- Head the digital client file initiative by creating organized digital folders for each client, scanning and uploading current printed materials, and ensuring all records are accessible and accurate.
- File and maintain client and compliance documentation in accordance with firm standards.
- Learn and develop proficiency in Raymond James platforms including RJNet, CRM systems, Client Center, Client Reporting and Online Scheduling.
- Support CRM updates in collaboration with the Client Service Associate and Marketing Director.
- Assist the Marketing Director with monthly client engagement activities, including preparation and delivery of birthday cards, client touchpoints, anniversaries, milestone recognitions, welcome letters, and other personalized communications.
- Assist with client‑facing marketing efforts, including seminars, events, and promotions, supporting all preparation, logistics, and follow‑up activities.
