Evolution Design Build Group is looking for a highly organized, detail-driven Construction Administrative Assistant to oversee daily office operations and ensure the smooth execution of administrative functions. This is a pivotal role within our custom residential remodeling and new construction business. The ideal candidate will thrive in a fast-paced environment, support project and executive teams, and play a key role in maintaining professional, efficient systems across the company.

- Serve as the first point of contact by managing front desk operations, greeting visitors, and handling calls and emails.
- Support executive team directly with scheduling, correspondence, and general admin needs.
- Maintain organized and professional office operations, including supply management and weekly PO Box checks.
- Reconcile credit card transactions and manage receipt uploads via Quick Books and Builder Trend.
- Support CFO with reviewing timeclock reports and payroll coordination.
- Assist Project Managers with permitting, blueprint ordering, inspection scheduling, bid requests, and client communication.
- Coordinate and track trade partner documentation: insurance certificates, W-9s, DOPL licenses, lien waivers, and subcontractor agreements.
- Maintain up-to-date records in Builder Trend and Google Drive; update whiteboard, company calendar, and EVO Field Schedule.
- Implement and refine administrative processes to improve workflow and productivity.
- Proven experience in office management or an administrative role in a fast-paced environment (construction experience is a plus).
- Proficient in Google Workspace (Docs, Sheets, Drive, Calendar).
- Familiarity with Quick Books and/or Builder Trend preferred.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks and manage deadlines effectively.
- Team-oriented mindset with the ability to work independently when needed.
