The Office Assistant performs receptionist and general clerical responsibilities. This position also performs support duties, including the documentation and transmission of shipping data and raw material receipts. The position assists employees and vendors with questions and interacts with plant supervisors in performing other office duties.
What You’ll Be Contributing- Promote and follow all plant safety guidelines.
- Prepare invoices for computer input by matching receiving documentation and obtaining management approvals to pay.
- Code invoices with proper account numbers and vendor numbers.
- Work with corporate personnel in obtaining new vendor numbers and correcting address information.
- Verify invoice amount and other pertinent information to eliminate errors before paying.
- Coordinate with Purchasing Agent and storeroom personnel with respect to correct receiving data.
- Submit invoice batches to supervisor for approval and retrieve pertinent tax, contractor, and project information.
- Process PO and Raw Material Invoices (input, scan, and index invoices) including backup and supplier justifications.
- Maintain accurate, updated vendor files with hard copies of invoices paid for 3 years.
- Prepare raw material summaries and accrual reports for month‑end processing.
- Download weigh and truck data from scale computer for daily reconciliation of raw materials.
- Enter data in the Daily Plant Administration‑Quarry Approval Page for the Daily Report.
- Share data electronically with vendors for coal, shale, sand, iron, gypsum, limestone, and alternative fuels.
- Prepare and submit bi‑monthly billing statements for vendor approval.
- Serve on Plant Safety Committee.
- Maintain the Plant Emergency Account and submit monthly reimbursement requests.
- Additional duties as assigned by supervisor.
- Minimum High School or GED.
- Minimum 1 year of experience performing clerical, accounts payable, payroll or related administrative support functions.
- Ability to read, write, and understand warning labels, instructions, signs, etc.
- Proficient in English written, verbal communication, and listening skills.
- Ability to read, write and understand English.
- Ability to work with a high level of accuracy, even under pressure.
- Knowledge of general office practices and procedures.
- Proficient in Microsoft Office Products.
- Ability to use general office equipment such as an adding machine, computer, and copy machine.
- Ability to use a computer to store data and generate reports.
- Ability to work under general supervision on routine duties with standard policies and procedures.
- Ability to refer problems and questions to supervisor.
