Academic Program Coordinator, Department of Philosophy
An Academic Program Coordinator is being sought to be the primary point of contact for all graduate program matters of the Department of Philosophy in the College of the Liberal Arts.
This role is great for individuals looking for variety in their next career move, along with the opportunity to provide high-level support to the Director of Graduate Studies, the faculty, and graduate students of the department.
A significant amount of tracking of data is also involved in this role as the Academic Program Coordinator will manage and maintain graduate student academic and some budget records.
The Academic Program Coordinator will utilize organizational and multitasking skills to complete this position's responsibilities, which include but are not limited to
:
- Managing enrollment and registration processes
- Monitoring and tracking graduate student academic progress
- Coordinating and scheduling appointments related to the following graduate student milestones: candidacy, comprehensive examinations, dissertation proposals, and defense examinations
- Preparing new and renewal appointments of graduate assistantship or fellowship
- Tracking graduate student departmental and external funding
- Managing admissions and recruitment processes, including creating and maintaining complete applicant files, fielding questions regarding the program and admissions, and planning aspects of the annual recruitment event
- Managing the approval and tracking process for graduate student conference travel and expense reimbursements
- Creating and maintaining spreadsheets to collect and analyze financial and student data for internal and external reporting
- Responding to and problem-solving inquiries regarding program and University policies and procedures
The Academic Program Coordinator will work both independently, as well as collaborate/have support of the administrative team when completing the position's responsibilities. Providing back-up support to others on the administrative team will occur as needed.
After training, the Academic Program Coordinator will also work with various software including Microsoft Office 365 and 25
Live by College Net, as well as the following which are specific to Penn State:
- LionPATH (Penn State's student information system)
- Work Lion (collection of general HR information and resources, along with an inquiry system)
- iTwo (used for data access, analysis, and distribution)

Education and Experience: This position will be filled at the level of Intermediate Support, which requires a minimum of a High School Diploma or General Equivalency Diploma (GED) for education and two years of relevant experience, or an equivalent combination of education and experience.
Candidates must also have professional experience working with data and using Microsoft Excel (or similar software).
