Overview

Swindon Borough Council's Legal Services team provides professional legal support across the organisation, ensuring compliance, governance, and effective service delivery. The team works collaboratively to support council departments, external stakeholders, and the community through accurate, timely, and high-quality legal administration. The Legal Assistant will provide professional legal support to the Chief Legal and Monitoring Officer and the wider legal team. The role involves managing legal documentation, supporting casework, maintaining accurate records, and ensuring the smooth operation of legal processes.

This position requires a high level of discretion, strong organisational skills, and the ability to work with minimal supervision.

Responsibilities
  • Act as a super-user of the IKEN Case Management System, including creating files, uploading documents, bundling papers, and producing reports.
  • Manage the storage, filing, retrieval, and electronic organisation of all legal documents.
  • Ensure timely and accurate sealing of legal documentation in line with the Council's constitution.
  • Monitor legal inboxes, allocate queries to the correct team, and open files accordingly.
  • Support the Right to Buy process, including checking legal titles, collating contract documentation, and preparing transfer documents.
  • Prepare Court documentation for the Single Justice Procedure using workflow systems.
  • Download, collate, and record Land Registry searches and submit costings for payment.
  • Complete IT and Matrix requests, order equipment, support onboarding, and sign off locum timesheets.
  • Produce performance management data, including time-recording reports, case statistics, and KPI information.
  • Support FOI, SAR, complaints, and Member Hotline responses by providing case data and chronologies.
  • Carry out general administrative duties including post handling, scanning, invoicing, and document preparation.
  • Assist with process improvements and contribute to the development of the legal office manual.
  • Provide support to Childcare Legal administrative tasks when required.
Qualifications
  • Experience in legal administration or supporting a legal team.
  • Strong organisational skills and ability to manage competing priorities.
  • High level of accuracy and attention to detail.
  • Ability to handle confidential and sensitive information appropriately.
  • Competent IT skills, including case management systems, spreadsheets, and document handling.
  • Strong communication skills and ability to liaise with internal and external stakeholders.
  • Ability to work independently with minimal supervision.
  • Flexible and adaptable to changing workloads and priorities.
