Job Description
Overview:
We are seeking a highly motivated Facilities Associate to oversee the daily maintenance and operations of our Strategy North America office spaces. This role is essential in ensuring our facilities run smoothly and efficiently.
Key Responsibilities:
Access Control and Surveillance: Support management and upkeep of physical access control and video surveillance systems at Strategy’s headquarters.
Financial Oversight: Assist in preparing the annual facilities budget, reconcile monthly expenses, and review and approve invoices.
Procurement and Contracts: Assist in procurement processes and manage contracts effectively. Conduct cost analysis for services and projects to streamline operations.
Vendor and Contractor Coordination: Serve as the primary contact for vendors and contractors, ensuring effective communication regarding maintenance, services, and repairs, and provide regular project updates.
Inventory Management: Oversee inventory levels for office supplies, copiers, printers, kitchens, lounges, gym, and other communal spaces.
Facility Management: Provide comprehensive services, including ongoing monitoring of North America offices to ensure optimal operation.
Customer Service: Address employee inquiries and concerns promptly, ensuring high-quality issue resolution and fostering satisfaction through follow-up.
Mailroom Operations: Manage all mailroom activities, including shipping, receiving, and package delivery.
Onboarding/Offboarding Support: Assist with onboarding and offboarding processes to ensure smooth transitions.
Required Qualifications and Skills:
- Demonstrated qualities such as motivation, innovation, passion, integrity, teamwork, and a customer-focused mentality.
- Education: Bachelor’s degree (preferably in Business, Engineering, or Architecture).
- Experience: 1-3 years of relevant facilities management experience.
- Technical Skills: Working knowledge of Microsoft Office applications.
- Attributes: Excellent organizational skills and attention to detail.
