The Office Coordinator is responsible for keeping NEB’s day-to-day administrative and office operations running smoothly. This role supports leadership, engineering, and manufacturing teams by ensuring organization, responsiveness, and a professional environment for employees, clients, and vendors.
This person is detail-oriented, proactive, and comfortable wearing multiple hats in a fast‑paced medical device R&D and contract manufacturing environment.
Key Responsibilities Office Operations- Manage front office operations and serve as primary point of contact for visitors
- Maintain office supplies, kitchen supplies, and facility needs
- Coordinate office vendors (cleaning, maintenance, IT support as needed)
- Assist with facility organization and workspace setup for new hires
- Provide scheduling support for the leadership team as needed
- Coordinate internal meetings, leadership meetings, and company events
- Prepare and format internal documents and presentations
- Maintain organized digital and physical filing systems
- Coordinate new hire onboarding logistics (workspace, materials, documentation routing)
- Assist with maintaining personnel files and training records
- Support recruiting logistics (interview scheduling, candidate communication)
- Help track PTO and time‑off documentation
- Assist with maintaining social media posts
- CRM and contact management
- Conference and event support
- Linked In and social media support
- Website support
- Sales material support
- Plan company team‑building events, customer visits, and internal celebrations
- Help maintain a professional, organized, and welcoming environment
- 3+ years of administrative or office management experience
- Associate or bachelor’s degree preferred
- Strong organizational and communication skills
- Proficiency in Microsoft Office and cloud‑based tools
- Ability to handle confidential information with discretion
- Experience in a regulated environment (medical device, biotech, ISO) preferred
- Proactive and self‑directed
- Comfortable in a fast‑moving engineering environment
- Highly organized and detail‑oriented
- Service mindset and takes pride in supporting the team
- Positive, team‑first attitude
- U.S. Employment Eligible.
- Ability to work in the Tyngsboro, MA office full time
