- Serve as a trusted administrative partner to the CEO, supporting alignment with company goals and priorities.
- Act as a gatekeeper and facilitator for the CEO's schedule and communications, protecting time for high priority initiatives.
- Anticipate the CEO's needs and proactively manage requests, materials, and action items.
- Manage, prioritize, and help resolve competing demands to ensure the CEO remains focused on key objectives.
- Support the CEO by reinforcing focus on strategic priorities and company growth initiatives through effective organization and followthrough.
- Support EOS execution by reinforcing priorities, tracking commitments, and supporting leadership meeting cadence.
- Maintain and manage the CEO's calendar, including scheduling internal and external meetings.
- Oversee and organize the CEO's email inbox, identifying actionable items and ensuring timely followup.
- Draft, edit, and manage professional correspondence, presentations, and reports.
- Prepare agendas, document meeting notes, and track action items to completion.
- Maintain organized digital system for schedules, communications, documents, and task tracking.
- Assist with scheduling and coordinating business/personal travel arrangements, including flights, hotels, and itineraries, as requested.
- Manage and submit accurate expense reporting for CEO and CGO, ensuring timely reconciliation and compliance with company guidelines.
- During CEO travel periods, flex capacity to support additional administrative or operational duties as assigned to maintain continuity and momentum.
- Support special projects and initiatives for the CEO and executive leadership.
- Track progress on key initiatives, deadlines, and deliverables.
- Coordinate with internal and external stakeholders to support project outcomes.
- Identify inefficiencies in scheduling, communication, and workflow and recommend improvements.
- Uphold confidentiality, integrity, and professionalism in all CEO related communications.
- Build trust-based relationships with team members to ensure clear communication and alignment.
- Proactively identify issues related to scheduling, communication, and task execution.
- Handle routine administrative decisions independently and elevate critical matters appropriately.
- Exercise sound judgement when representing the CEO in internal and external communications.
- Associate's Degree or equivalent from a two-year college or technical school; and two to four years related experience and/or training; or equivalent combination of education and experience.
- Valid Texas Driver's License and automobile insurance.
- Exceptional organizational, prioritization, and multitasking abilities with strong attention to detail.
- Excellent written and verbal communication skills, including professional email drafting and message coordination.
- High proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams) and modern productivity tools (e.g., calendar systems, task management, project tracking software).
- Demonstrated ability to manage complex calendars, schedule meetings across multiple stakeholders, and coordinate logistics efficiently.
- Strong followthrough skills with the ability to track assigned tasks, deadlines, and commitments to completion.
- Ability to work independently in a remote environment, exercise sound judgement, and maintain confidentiality and discretion.
- Professional, responsive, and service-oriented mindset with a proactive approach to problem solving.

Hours:
3 to 5 hours per day - Must be located within one hour from Tyler, TX or one hour from the Dallas-Ft. Worth Area.
