Your Role:The IT Systems and Operations Specialist acts as liaison between business users and IT. Coordinates vendor relationships including issue notifications and follow‑up until resolution.
Key Responsibilities:- Oversee and manage Concur as platform specialist and provide backup support to Veeva and other business systems.
- Serve as the primary point of contact for Concur administration, configuration support, and day‑to‑day operational issues.
- Provide first‑level support to employees for expense report questions, troubleshooting, and process guidance.
- Partner with the Concur vendor and internal stakeholders to resolve system issues, manage enhancements, and support updates or changes.
- Provide backup and basic administrative support for Veeva Vault applications, Dynamics 365, and other enterprise systems as needed, including user coordination, issue triage, and documentation support.
- Assist with system communications, training coordination, and user adoption activities.
- Coordinate IT inventory and procurement.
- Maintain accurate inventory records of IT hardware, software, and related assets in partnership with IT Operations and the Help Desk function.
- Coordinate onboarding and offboarding logistics related to IT equipment and system access.
- Support IT procurement activities by managing vendor setup requests, submitting purchase requisitions (PRs) and purchase orders (POs), and tracking order status.
- Liaise with vendors to resolve procurement, delivery, invoicing, or contract‑related issues.
- Manage and centralize department scheduling and prepare logistics of meetings.
- Coordinate and manage calendars for IT leadership and department‑wide meetings, steering committees, and vendor engagements.
- Prepare meeting logistics, including scheduling, agendas, materials, conference links, and follow‑up action tracking.
- Support preparation and organization of presentations, reports, and documentation for IT meetings.
- Support IT financial and administrative operations.
- Manage and submit expense reports on behalf of IT leadership as needed, ensuring compliance with company policies.
- Coordinate travel arrangements for IT staff and leadership, including airfare, lodging, and itineraries.
- Assist with budget tracking, invoice processing, and reconciliation activities related to IT operations and projects.
- Provide general operational and administrative support to the IT organization.
- Act as a central point of coordination for IT operational tasks, ensuring consistency, follow‑through, and documentation.
- Perform other duties and special projects as assigned in support of IT systems, operations, and organizational effectiveness.

Preferred Qualifications:- High School Diploma or GED
- 4+ years’ experience in Concur and other enterprise business platforms, such as ERP, quality, or content management systems (e.g., Dynamics 365, Veeva Vault)
- Proven ability to support and administer business systems in a cross‑functional environment, including troubleshooting issues, coordinating with vendors, and supporting end users.
- Experience coordinating IT operational activities, including inventory management, procurement processes (vendor setup, PRs/POs), scheduling, and administrative tracking.
- Demonstrated ability to manage multiple priorities and work independently, with strong organizational, time‑management, and attention‑to‑detail skills.
