Job Summary
The Administrative Assistant provides front-line customer service and administrative support, serving as a key point of contact for the public. This role is responsible for processing public records requests, permit applications, and related documentation with a high level of accuracy and attention to detail. The position requires strict adherence to statutory requirements, including ensuring responses to public records requests are completed within the mandated 10-day timeframe.
Key Responsibilities
Customer Service & Public Interaction
- Serve as the first point of contact for walk-in visitors, phone calls, and email inquiries.
- Provide clear and accurate information regarding public records, permits, and department procedures.
- Assist members of the public with completing forms and submitting required documentation.
- Maintain a professional, courteous, and service-oriented demeanor.
- Address and resolve routine inquiries; escalate complex issues as appropriate.
Public Records & Permit Processing
- Receive, log, and process public records requests in compliance with applicable laws and agency guidelines.
- Track and monitor all requests to ensure responses are issued within the 10-day statutory deadline.
- Review submitted documents for accuracy, completeness, and confidentiality.
- Coordinate with internal departments to gather necessary records or approvals.
- Prepare and distribute official responses to records and permit requests.
Administrative Support
- Maintain accurate files and documentation in both electronic and physical record systems.
- Prepare reports, correspondence, and status updates as needed.
- Ensure proper documentation retention and compliance with internal policies.
- Manage multiple tasks and deadlines while maintaining high attention to detail.
- Support additional clerical and administrative functions as assigned.
Qualifications
- High school diploma or equivalent required;
Associate’s degree preferred. - 2+ years of administrative or customer service experience.
- Strong attention to detail and organizational skills.
- Ability to meet strict deadlines and manage time effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and records management systems.
