The Corporate Receptionist and Mail Coordinator is a dynamic, professional, and personable individual who provides high-level administrative support while managing the front desk and creating a warm, welcoming environment for all visitors. This dual role requires excellent organizational and communication skills, the ability to handle sensitive information with discretion, and a can-do attitude. The successful candidate will serve as the first point of contact for guests, clients, and team members, as well as manage and coordinate the incoming and outgoing mail and deliveries for the corporate office.
Essential Duties and Responsibilities include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.
Front Desk & Reception Responsibilities- Greet, direct, and announce visitors and guests in a professional and friendly manner.
- Answer questions and provide basic information as needed.
- Maintain security protocols, including issuing and collecting visitor badges and monitoring the visitor logbook.
- Keep the reception area clean, organized, and presentable at all times.
- Order and maintain inventory of office supplies and business cards.
- Ensure cafés are properly stocked throughout the day.
- Coordinate with cleaning staff and manage minor office maintenance issues.
- Support office moves and reconfigurations as needed.
- Fully responsible for the processing of corporate mail, including developing process improvements.
- Receive, sort, and distribute incoming mail and deliveries.
- Prepare, package, label and track outgoing mail and deliveries.
- Oversee digital mail and follow-up with individuals assigned to process digital mail.
- Prepare reports, conduct research, and create presentations as needed to provide metrics, visibility and consistency for the mail process.
- Act as a point of contact for the mail process for all stakeholders.
- Complete special projects as assigned.
- Proven experience in a corporate receptionist role.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal abilities.
- High degree of discretion when handling sensitive and confidential information.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to adapt to new technologies and systems quickly.
- Detail-oriented with the ability to manage multiple priorities.
- Professional appearance and customer service-focused demeanor.
- Self-starter with a proactive, resourceful, and team-oriented approach.
- Motivated by being efficient, highly productive, delivering top quality, and cost-effective.
- High school diploma or equivalent; post-secondary education is an asset.
- Excellent verbal and written communication skills.
- Ability to work independently in a fast-paced environment.
