Position Information

Position Title: Budget Office Assistant

Status: Full Time

Job Summary

Provide administrative and financial support to ensure accurate budget reporting, payroll processing, and procurement coordination for the College of Veterinary Medicine, while maintaining confidentiality and organized records.

Responsibilities
  • Create and maintain procurement documents prior to review and approval.
  • Respond to inquiries from staff and faculty regarding requisitions and other purchasing documents status.
  • Maintain an organized filing system for budget-related documents, reports, and correspondence.
  • Reconcile budget statement and prepare monthly reports for Department Heads.
  • Aid in compiling annual budget package for the College of Veterinary Medicine.
  • Ensure confidentiality of sensitive financial and budgetary information.
  • Maintain personnel files and assist with bi-weekly and monthly payroll processing.
  • Process Personnel Action Forms for Staff.
  • Maintain a database of professional development activities.
  • Perform other duties as assigned.
Qualifications (Education, Experience and Specialized Training)
  • Bachelor’s degree with one-year experience in accounting, finance, or a related field.
  • Strong proficiency in data entry and computer skills, including expertise in spreadsheet software (e.g., Microsoft Excel).
  • Experience with financial management systems or databases is preferred.
Physical Demands
  • Ability to operate standard office equipment.
  • Ability to walk short distances.
  • Ability to lift and carry parcels, packages and other items.
  • Ability to view a computer terminal.
Skills and Attributes
  • Knowledge:
    • Understanding of institutional budgeting cycles.
    • Knowledge of university policies and procedures.
  • Skills:
    • High attention to detail.
  • Ability:
    • Handle multiple tasks and meet deadlines effectively.
