The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
AdditionalDepartment Summary
Performs, coordinates, and oversees general and advanced technical and office administrative support work within the office of General Education. Provides varied and complex office administrative support to managerial, professional and supervisory staff or the direct coordination of specific administrative support projects and operations. Oversees well-defined projects. Provides expert professional assistance to managerial staff.
ResponsibilitiesProvides administrative support within General Education; serves as office liaison/receptionist; routes communications; maintains files; drafts and sends communications; supports budgeting and P-Card/Concur reconciliation; performs budget monitoring/entry; operates standard office equipment. Oversees defined administrative support projects and operations, and provides professional assistance to managerial staff as needed.
RequiredMinimum Qualifications
High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and KnowledgeExcellent verbal and written communication skills. Ability to use various computer software packages including Microsoft Word, Excel, PowerPoint, Outlook and Banner. Strong skills in financial management and budget reconciliation. Ability to manage multiple projects simultaneously. Strong customer service skills. Ability to read and interpret reports.
